Accounts Payable Specialist
About this Position…
Our Accounts Payable position is a vital component to our business’ success. Because our company owns and maintains a diverse portfolio of properties and we have a wide mix of tenants, this position is grounded heavily in accounts payable. This position is responsible for coordination with the Accounting team and for vendor account management. In addition, when needed, assists with providing customer service and support.
Skills and Experience:
The ideal candidate will possess excellent communication and customer service skills. Also, candidate must be a strong team player who is willing to demonstrate drive and initiative with a positive and professional approach. This position requires a strong attention to detail and the ability to demonstrate problem-solving skills, to change direction in response to changing work situations, and to accommodate different working styles and cultures. The ability to support sensitive issues, deal with ambiguity, and exercise time management in order to prioritize workload is key.
A minimum of 2 years of work experience, an associates degree and computer proficiency in MS Office (Word, Excel, Outlook) is required. We seek an individual who demonstrates integrity, dependability and a track record of following through on commitments with the highest level of service, both internal and external.
Summary:
Performs routine to moderately difficult clerical assignments of an accounting nature such as analyzing accounts, records, reports, journal vouchers, ledgers and other accounting documents for accuracy and completeness.
Essential Duties and Responsibilities include the following:
•Maintain daily bank account balances for up to 25 accounts
•Maintain daily revenues metrics for Rowley Properties and Terragen
•Upload invoices into automated invoice-routing system (AvidXChange) for up to 15 companies
•Code Invoices as much as possible for property managers
•Manage AvidXChange workflows
•Monitor invoices in system and send reminders as necessary
•Import invoices from AvidXChange to IRES
•Process payments to vendors
•Process tenant refunds
•Reconcile invoices to vendor statements
•Communicate with vendors both verbally and in writing
•Assist with monthly bank reconciliations
•Customer service support to include answering phones, assisting customers at the front desk and with office coverage
•Assist in month end closing as necessary
•Filing
•Cost analysis, as needed
•Update use tax schedules
•Perform Unclaimed Property Reporting
•Update Mortgage Schedules and reconcile to monthly statements
•Assist with Washington State Excise Tax Return preparations (monthly & quarterly)
•Enter utilities billings into database
•Update information to Positive Pay (fraud protection)
•Assist with GL account reconciliations
•Enter fixed assets into depreciation schedule and reconcile to GL monthly
•Maintain vendor packets and certificates of insurance and lien release forms
•Obtain and track 1099 and contractor information
•Prepare 1099s at year end
•Post A/P transactions to general ledger; assist with general ledger entries as assigned
•Coordinate with Property Accountants to ensure tenant costs are billed
•Assist Property Accountants with schedules and reconciliations as needed
•Special projects as needed
Successful candidates must be able to pass drug screen and background check.
