This highly visible position is part of a team of engineers responsible for the maintenance and operation of a Proton Therapy based Medical System used in the treatment of Cancer. You will be responsible for the day to day administrative needs of the Site Manager to include but not limited to accounting, personnel, logistics and general administrative functions.

Education and Experience:
· HS Education a must, college education a plus
3-5 Years of experience in a position using relevant skills and requirements
Detail oriented, Self motivated, Good customer service mentality, Strong commitment to team work, Organized and proactive, Good written, communication and presentation skills and Multitasking abilityRelies on experience and judgment to plan and accomplish goals, make decisions, without direct supervisionA wide degree of creativity and latitude is expected
Computer Skills: Strong knowledge of Microsoft Office is a must (Excel, Word, Access, Outlook, etc)SAP knowledge preferredeMaint knowledge a plus
Skills Include:
· Accounting:
o All accounts payable and receivable including making payments and reconciling the accounting on a semi-monthly basis
o Managing accounts with other parties including vendors, service providers, leasing agents and etcetera
o Prepares and monitors invoices and expense reports
o Responsible to monitor and record petty cash usage
· Logistical:
o Perform multiple functions and administrative tasks related to the organization's logistics department
o Responsibilities may include purchasing and arranging the transportation of materials, vendor selection, distribution of supplies as needed
o Record and maintain control of all inventory items purchased and produced
o Track parts under repair and ensure the timely return and replacement in inventory
o Responsible for performing routine clerical duties such as maintaining letters, memoranda, invoices, and other indexed records arranged in a file or computerized database, according to an established system, and retrieving those files as needed
o Should be familiar with logistical concepts, practices, and procedures
· General Administrative functions
o Coordinate with internal personnel, clients and vendors domestically and internationally
o Schedules appointments
o Take incoming calls & gives information to callers
o Incoming & outgoing mail, faxes and transmittals
o Document filing and printing
o Composes memos, transcribes notes, and draft business letters
· Personnel Functions
o Distribute and collect HR related documents as needed for local personnel
o Organize travel itineraries to and from the site, plan accommodations, taxi and car pool management
o Handle personnel re-imbursements, and etcetera for business expenses
