Essential Job Functions:· Administrative support for the staff and management of Victory Capital Management.· Serve as resource person for Victory and other departments as well as some clients (the go to person).· Assist with maintaining Victory's Business Recovery Plan and own the Business Recovery Call tree. Work on system set-ups.· Coordinate the PC Training room schedule, Check requests, process all invoices and maintain back-up files, maintain invoice database.· Supervise 21st floor receptionist; Order all supplies.· Be the point person with marketing and some venders Marginal Job Functions:· Provide assistance as assigned. Support senior manger with calendar and travel arrangements.· Be a proactive member of the Victory team.· Represent and participate with the Cares Group as the Victory Rep.· Work with the NFS team to see that all equipment is installed in a timely manner for new hires.· Check to make sure all TNS requests for new hires and those leaving the firm have been completed.· Point person with building security for trade floor access. Required Skills:· 3+ years administrative experience, preferably in a financial services environment.· Ability to multitask, prioritize, and work in a fast-paced, changing environment without compromising accuracy.· Proficient with TNS (mainframe), Ariba, Microsoft Office, including Word, Excel and PowerPoint, and Lotus Notes E-mail and calendar. SupportSenior Manager (travel & Calendar).· Ability to write & verbalize thoughts in a clear, organized and concise manner.· Ability to conduct him/herself in a positive manner.· Excellent proofreading skills; Strong organizational and time management skills.· Ability to maintain a high degree of confidentiality at all times and exhibit a high level of professionalism.· Ability to exercise judgment, employ basic reasoning skills, and work independently.· Ability to work under stressful conditions and maintain composure.· Possession of a flexible, conscientious and responsible attitude.· Team player and self-starter; Detail-oriented; Strong oral and written communication.
