Assistant Controller - Construction
Job Description Assistant ControllerWorking closely with Operations/Project Management, Estimating & the Purchasing groups, this position is primarily responsible for the accurate and timely daily/monthly accounting (A/P/ Billing & A/R), cost controls, budget maintenance, job cost, cost at completion forecast, and contract compliances for assigned construction projects utilizing Timberline Job Cost module and the approved company policies and procedures regarding project management, project accounting and project cost controls.1.Responsible to set-up new projects in Timberline based on project award information provided by Estimating/Purchasing.2.Responsible to enter approved project budgets into Timberline utilizing company Construction CSI codes for each trade. Responsible to enter client billing information into the A/R module for assigned projects. 3.Set-up sub-contractors and suppliers information in Timberline and enter all approved Sub-Contracts, and purchase orders & change orders issued by the Director of Purchasing or PM into Timberline JC, based on schedule of values in the approved contract document.4.In close consultation with the Project Manager/Project Team, the Assistant Controller is responsible to prepare and submit to the owner an AIA Billing based on percentage of completion of the project or other billing terms set forth in the agreement. The billing frequency shall be once a month or as required by the contractual agreement between the company and the Client. The Assistant Controller is responsible for project receivables and will make collections calls in consultation with the project manager.5.The Assistant Controller is responsible for reviewing, auditing, reconciling, and setting up Subcontractor and Suppliers application for payments request in Timberline; to be processed and checks disbursed by the A/P Coordinator base on the company terms and conditions. The Assistant Controller will meet with the Project Manager/Project team once a week to review and approve supplies & subcontract invoices in accordance with company Construction policies and procedures. The Assistant Controller will be the Gate Keeper of this process, and is fully charged with the responsibilities of communicating and enforcing all of the company’s policies and procedures regarding disbursements for assigned projects to the entire project team: including subs. and suppliers.6.The Assistant Controller is responsible for contract compliances regarding the following but is not limited to: Insurance requirements set forth in the contract, certify that sub-contracts and purchase orders, and changes orders are properly executed by the authorized company employee, ensure that the subcontractors are submitting their request for payments in accordance with company terms & conditions.7.The Assistant Controller is responsible for the maintenance and reporting of the project budget/costs and will advise Project Manager/Project team and direct report promptly on budgets deviations and other project risk and costs over-run. The Assistant Controller & the PMs on a weekly/monthly or as needed will conduct a complete project review, and jointly prepare a project forecast report. (Cost @ Completion), project profitability report, and an updated project change order index for review by Sr. and Executive Management.8.Assist with costs reporting system maintenance as it relates to the reporting functions. Ensure that all general conditions and other over heads costs, including payroll costs are accurately and timely accounted for on the projects level.9.Implement and maintain a documented and orderly filing system for all assigned project.10.Assist with the preparation of project audits and other related reports as requested by the client and others.11.Assist with, and perform special projects as requested by the project team or senior management.12.Prepare and submit a complete project close-out binder base on qualifications set forth in the project agreements or client’s. 13.This position will directly interact and engage the A/P & A/R Coordinators, Estimating & Purchasing Departments, & Project Managers in addition to Sr. Management. Qualifications: -Minimum Associate Degree in Business Administration, Finance or Accounting. Bachelor of Science is preferred. -0 - 3 years experience as a Project Accountant, or Accountant. Will provide training for the right person. Recent College is Acceptable. -A strong, but professional and cordial personality is essential. This position will be required to interface with the entire project team and also the client. Must be able to work independently and drive the project accounting and costs controls of assigned projects effectively. Ability to handle conflicting priorities and multiple deadlines. Must take initiatives, communicate policies and procedures effectively. Ability to work in a team-based environment. Must be proactive and goal oriented and sensitive to deadlines.
