Assistant Trust Officer

The Assistant Trust Officer will be responsible for providing assistance and support to Sr. Trust Officer and Trust Officer for Bessemer Trust Company of Delaware, N.A. (BTDel) as well as the delivery of trust administration support to Client Account Managers (CAMs), clients and client’s advisors under the supervision of the Sr. Trust Officer. Essential Duties and Responsibilities General Account AdministrationAssist CAM team in the opening of trust accounts, coordination of the transfer of assets and legal documentation from prior trustee (if any), and filing such legal documentation in the trust file (DMS) and vault (if required). Preparation of BTDel desk files with copies of all relevant trust instruments and related legal documentation. Preparation of draft correspondence for Sr. Trust Officer and Trust Officer. Responsible for keeping spreadsheets relating to trust accounts, pending trust business, fees and others that may be needed. Responsible for periodic deposit and withdrawal of original legal documents from the vault and maintaining the vault log. Responsible for processing items into the trust account files via imaging (DMS) Assist Trust Officer team in working on policies and procedures and addressing audit or compliance items. Responsible for assembly of information required for preparation of Initial Trust Reviews by the Trust Officer, assist as necessary to see that such reviews are prepared in timely manner, monitor for receipt back from the CAM team, verify that necessary follow-up actions are taken and that they are updated as necessary.  Officers Committee (OC) SupportCentral point of contact for incoming discretionary requests and other OC business; Provide guidance to CAMs regarding proper submission of requests, location of forms, samples and templates; Serve as a resource to CAM teams regarding such matters; Responsible for compilation and verification of material required for request submission to the Committee and preparation of binders in advance of meetings; Monitor and manage verbal requests submitted to the Committee; and Maintain records of approved OC requests in binders and relates spreadsheets.  Life Insurance Trust AdministrationResponsible for day to day monitoring and administration of life insurance trusts; Maintain life insurance spreadsheet; Process premium payments and prepare draft withdrawal notifications (Crummey notices) with support of Trust Officer; Receive and process all correspondence from carriers and work with CAM team to see that all information relating to policy ownership, beneficiary designation and value are accurate and have been updated on the system and added to the trust file (DMS); Coordinate Trust Builder review of policies for which BTDEL has investment discretion, review annual reports and see that such reports are added to the trust file; and Generally monitor such accounts and escalate unusual items and concerns to Sr. Trust Officer, Trust Officer and CAM team.  Professional DevelopmentIn addition to attending internal training sessions and corporate communications, attend programs and seminars to augment legal and tax knowledge.  QualificationsFour-year degree required Tax and/or Trust Administration experience preferred but not required Excellent organizational and time-management skills, including the ability to handle multiple tasks simultaneously Prior experience in financial services and/or demonstrated ability to work with financial data helpful but not required Proficiency in Microsoft Word, Excel, Outlook and PowerPoint Highly attentive to detail Proficient writing and proofreading skills Excellent interpersonal skills Takes initiative to see tasks through to completion Excellent phone skills and professional demeanor Notary Public – required within 3 – 6 months of hiring date
