GENERAL DESCRIPTION:
This position is primarily responsible for the control of the organization’s financial resources and the reporting of its’ historical financial information. Specific responsibilities include: accurate and timely preparation of monthly GAAP-compliant financial statements with variance explanations; management of the annual independent financial statement audit, A-133 audits, 990 reporting process, and audits by Grantors and other funding sources; management of the Accounting staff; managing asset reporting and tax related filings; and development, implementation, and management of internal controls.
ESSENTIAL FUNCTIONS:
1. Establish and implement a stringent monthly close process to include approved schedule of monthly/ quarterly/ annual account reconciliations
2. Develop, incorporate and maintain internal controls, and accounting and financial policies and procedures in compliance with grant requirements
3. Establish and maintain adherence to daily procedures to ensure proper approval, documentation, and account coding of all cash receipts and cash disbursements
4. Produce monthly financial statements in formats and timeframe approved by the Executive Director
5. Provide proactive analysis and explanation of variances in comparative financial statements
6. Attend Committee and Board meetings as requested by the Executive Director
7. Establish and manage a monthly protocol with Department and Program Managers to review financial statements
8. Manage the payroll process including accurate data entry that is reconciled to both Grant Reporting records and to the general ledger, and proper allocation when an employee works for more than one program
9. Ensure that all payments, reports and audits required by Funding Contracts and Grants are completed in a timely manner
10. Manage the audit process and workflow of third party audits
11. Lead the effort toward improved utilization and integration of general ledger software
12. Maintain fixed asset records including monthly depreciation expense calculation, entry and reconciliation
13. Prepare & file property tax exemptions
14. Prepare & file IRS form 5500 for health & benefit plans (health and 401K)
15. Maintain current knowledge of organizational policies and procedures, federal and state policies and directives, and current accounting standards.
16. Conduct or coordinate audits of company accounts and financial transactions to ensure compliance with state and federal requirements and statutes.
17. Receive and record requests for disbursements; authorize disbursements in accordance with policies and procedures.
18. Monitor financial activities and details such as reserve levels to ensure that all legal and regulatory requirements are met.
19. Monitor and evaluate the performance of accounting and other financial staff; recommend and implement personnel actions such as promotions and dismissals.
20. Develop and maintain relationships with banking, insurance, and non-organizational accounting personnel in order to facilitate financial activities
21. Perform other reasonably related business duties as assigned by the Executive Director
REQUIRED EDUCATION & EXPERIENCE :
Education: BS degree in Accounting
Experience: Three years experience as a Controller in a nonprofit organization
PREFERRED EDUCATION & EXPERIENCE
Education: Bachelor of Science Degree Program with advanced coursework in accounting field
Experience: Five years experience as Controller in a large nonprofit organization
Other: California CPA
