This is a full-time position serving under the direct supervision of the executive level management (CEO, COO, former CEO and NRMP) and provides administrative support to those positions. Much of the information handled by this position may be highly confidential and sensitive in nature. This position acts as a team with the Senior Executive Assistant and as a liaison between the executives, other partners, practice offices and Administrative office personnel. Independent judgment is required to plan, prioritize and organize a diversified workload, and ensure that required assistance has been provided to the positions being supported.Responsibilities: Gathers information, compiles research, and prepares reports, charts, tables and graphs as needed Teams with others to coordinate recurring and special projects, including partner evaluations, partner bonus pool, technical excellence awards, group leader requirements, strategic plans, etc. Compose, format, proofread, and edit correspondence, minutes, reports, forms, articles for Moss Adams' intranet, etc. Planning for numerous meetings and conference calls Prepares agendas, memos, general correspondence, notices, minutes, business plans and resolutions for meetings. Prepares or assists executives with the organization and preparation of materials for presentations Proactively manages schedules and calendar of executives, greets visitors, handles routine mail, fax, email, etc. Proofreads correspondence and takes responsibility for accuracy of final product. Screens, organizes and prioritizes incoming calls and correspondence, and responds independently when appropriate Arranges schedules and/or coordinates detailed travel plans and itineraries, compiles travel documents and directional mapping. Prepares weekly time and expense reports as directed Acts as liaison with other departments/offices, clients, vendors, etc. Assist executives with professional and external board participation requirements Teams with others to oversee administration of the firm's calendar Maintain accurate and current copies of documents, including partners' evaluations, legal agreements, meeting materials, etc., in the appropriate paper and/or electronic filesQualifications: Associate’s degree, or equivalent, from two-year college or technical school required; Bachelor’s degree preferred Minimum of four years of experience, preferably in a professional services firm High level of interpersonal skills to handle sensitive situations and confidential information. Position continually requires demonstrated poise, tact and diplomacy Ability to work effectively with multiple supervisors, and manage multiple priorities and projects in a fast-paced, changing environment with frequent change, delays or unexpected events Extensive knowledge of business operations and general administrative procedures. Conducts business tasks in a structured and organized manner Strong analytical ability - gather and summarize data for reports, find solutions to administrative problems and prioritize workload Excellent written and verbal communication skills, ability to edit work for spelling and grammar, and to present numerical data effectively Experience defining problems, establishing facts and drawing valid conclusions while using discretion and good judgment Advanced knowledge of and ability to use MS Office (Word, Excel, PowerPoint and Outlook), some Access and knowledge of Adobe applications. Strong internet research skills.
