The Fixed Asset and Accounts Payable Analyst is responsible for administration of fixed asset accounting and project spending control. This includes maintaining project tracking and asset management systems in accordance with federal and state laws and within company policies and procedures. For more information regarding the Mars Retail Group go to www.Mars.com,www.MMsWorld.com, and www.ethelschocolate.com Key ResponsibilitiesFixed Asset and Project Accounting· Maintain and update fixed asset system through accurate and timely capital additions, retirements, and transfers to assure proper financial reporting· Administer project spending control through tracking of project commitments and spending versus project authorizations and capital budgets· Summarize and report project activity each period. This includes authorizations, spending, capitalizations and project balances· Reconcile Construction-in-Progress (CIP) balance in the general ledger each period to sub-ledger by project· Proper classification of assets by type in accordance with Finance Manual. · Accountable for quality of asset records (i.e. description, identification/tag number, location, ability to drill down to cost components)· Responsible for forecasting capital additions, retirements and depreciation. Update year-end estimate quarterly. Explain period variances to forecast for fixed asset additions and depreciation· Proactive in identifying asset retirements at or before closure of projects. Identify and maintain records of assets retained but no longer in service · Knowledge of plant layout, processes and equipment. Coordinate completion of fixed asset review periodically· Understand and maintain depreciation schedules Accounts Payable· Investigate and resolve invoice discrepancies with appropriate department and/or authorizing manager· Daily verification of invoices from SourceNet, this includes amounts, terms of purchase order, and coding to general ledger· Prepare period close journal entries to correct the general ledger for incorrect postings as well as accruals for unpaid items at the end of each period to ensure that liabilities are accurately recorded as needed Additional Responsibilities:§ Assist in ensuring an adequate internal control environment as well as make recommendations regarding improvements of internal controls§ Perform ad hoc financial analysis as required§ Ability to train new associates and managers on related systems and accounting procedures§ Perform other duties as assigned to balance department workload and backup. Minimum Qualifications· A minimum of 2 years of accounting experience with a medium to large company in the area of fixed assets or general accounting· Bachelor Degree in Accounting or Finance strongly preferred.· Strong technical knowledge related to fixed asset and project management accounting concepts and transactions· Strong technical knowledge in the area of Accounts Payable· Proficiency with fixed asset/project management systems as well as Microsoft Office · Knowledge of accounting procedures including cost centers and account structures· Knowledge of debits, credits, assets, and liabilities as to what they are and how they work together Company-paid relocation assistance is not available for this position.
