Firm Administrator
Position Purpose
The Firm Administrator is responsible for ensuring the efficient operation of the day-to-day activities of the firm, including finances, human resources, facilities, risk management, information technology and marketing. Initiative in dealing with all matters will be a requirement for success.
As a position of trust, the ability to retain confidentiality in financial information is paramount. This applies to firm and individual partner information, as well as client information.
As a managerial role, the Firm Administrator directly manages all administrative personnel.

Position Responsibilities
Finance
· Maintains financial records for the firm, including preparation of monthly financial statement by the 5th business day following month end.
· Processes and maintains all appropriate records for employee payroll and partner draws, including payroll tax returns, payroll tax deposits, and 401(k) and other group benefit deposits.
· Supervises control over purchasing of equipment and office supplies.
· Supervises time and billing system, including timely preparation of billings and collection of accounts receivables and accounts payable.
· Develops firm operating budget, and prepares appropriate financial analysis to maintain profitability.
· Evaluates and reviews coverage comparisons for all insurance annually.
Human Resources
· Maintains confidential files on all personnel, including registration of participants for continuing education based upon departmental schedules, and maintain appropriate continuing education records for maintaining professional license.
· Prepares recruiting literature and coordinates recruiting programs and interview scheduling.
· Administers all employee benefit programs and monitors personnel evaluation system, including position descriptions and employee mentoring and career development program.
· Maintains personnel manual in accordance with applicable employment laws.
· Coordinates, arranges and attends all staff meetings and social events
Facilities
· Supervises office maintenance to achieve a neat, clean, professional appearance.
· Conducts research and recommendations for the purchase, lease, or rental of necessary office equipment, computers and software, including negotiating contracts with vendors.
Information Technology
· Oversees the maintenance of the telephone, IT systems and supervises IT personnel.
· Attends conferences, networks with other CPA firm IT departments to develop strategy around systems.
Marketing and Public Relations
· Supervises the periodic mailing/e-mailing of client newsletter (BizActions), including the maintenance of the addresses or electronic address-book.
· Develops and implements an on-going client survey program.
· Develops firm collateral material and maintains the firm website.
· Represents the firm in the community, attends conferences and other networking events annually.
Education, Experience, and Skills Required
· Bachelor’s degree, preferably in business administration, accounting or finance.
· At least three (3) years’ experience supervising and managing personnel.
· Strong communication, organizational and interpersonal skills.
· High energy level, comfortable performing multifaceted projects in conjunction with normal activities.
