HR-FINANCE ADMIN

Job Description:

Under administrative review, performs an administrative role for the Vice President of Finance and Human Resource Director as well as other areas within the organization.  Also, plays a large role in the Accounts Receivable aspect of the organization.

 

 

Essential Job Duties:

 

Human Resources

1. Printing, logging and categorizing resumes.

2. Responsible for Affirmative Action logs and maintenance of logs and compliance of OFCCP (training provided).

3. Submittal of correspondence to insurance/benefit providers for new enrollments, changes, terminations as necessary.

4. New Hire and exit processing

a. Creation of Job descriptions via word documents

b. Verifications of employment

c. Offer letters

d. Background checks

e. Termination processing

5. Tracking employee evaluations

6. HRIS and EEO reporting

7. New Employee Training on switchboard and voice mail procedures

8. Reconciliation of benefit invoices

 

Support Vice President of Finance

 

1.  Miscellaneous administrative duties as needed

 

Accounts ReceivableData Entry of daily depositsCoding deposits according to general ledger Create deposit slips accordinglyArrange for deposit into banking facility.

 

  Payroll

1.  Bi-weekly processing of outsourced payroll

2.  General ledger entries pertaining to payroll

3.  Generation of payroll reports to upper management

 

Tracking A/E licenses for the company – (advanced training will be provided for this aspect of the position).

1. Ultimately responsible for all licensing (renewals, new processing, etc) for: 

a. Individual engineers *

b. State Architectural and Engineering licenses *

c. State Building Contractor licenses. This responsibility includes occasional arrangement for testing and travel of our “Qualifier” for these state licenses.

 

Administration Coordination

1. Provide relief coverage when other administrative staff are out of office

2.  New Hire / Termination Processing

a. Ready new desk area with supplies

b. Name plate on wall

 

Essential Job Skills:Computer proficiency in Word and Excel3 years minimum administrative experience in an office setting.Good verbal and written communication skillsExcellent organizational skillsAbility to deal with all levels of managementDetail orientedAbility to lift up to fifteen (15) pounds of weightOffice Machinery:  Copiers, Fax machines, printers, typewriters
