Operations Support Coordinator

We are a leading supplier of outsourced services to clients engaged in the oil & gas industries located in the Westchase/Galleria area of Houston and are currently seeking an Administrative Professional to join our team as Operations Support Coordinator. 

Reporting to the Operations Manager, the Operations Support Coordinator is responsible for the day-to-day administrative support and organization of the office with an emphasis on proactive planning and continuous improvement. This is a supervisory position, currently supported by one full time receptionist/administrator.

 

Duties will include:

Administration Support

 

- Ensures the provision of all administration support to company functions to facilitate smooth running of the business;

- Provides confidential administrative support to company executive management;

- Supervises inbound and outbound mail services;

- Makes staff travel arrangements in line with company policies.

 

HR

 

- Assists Operations Manager with the administration of recruiting processes and new hire procedures;

- Schedules and maintains records of vacation time off; national holidays and other staff leave time taken.

 

Information Systems

 

- Arranges IT set-up for new employees and provides basic training and support in company systems;

- Arranges phone and voicemail system set-up for new employees and changes to existing accounts;

- Coordinates software and system upgrades with Operations Manager and IT Department.

 

Supplies/Purchasing

- Monitors office consumables and supplies inventory;

- Purchases supplies through established vendors.

 

Office Equipment

- Maintains Service Contracts on office equipment and services;

- Responsible for correcting equipment malfunctions and/or coordinating new purchases or repairs;

- Coordinates negotiations for new equipment / lease renewals.

 

Building / Office Management

 

- Acts as representative for building management;

- Ensures building and office security measures are implemented.

Special Projects

- Project Management of special projects as required to support  operational improvements

 

 

 

Requirements:

-  College education preferred;

-  Minimum 3 years experience of office administration in a non-assistant capacity;

-  High proficiency in Microsoft Office Applications: Word; Excel; Powerpoint; Outlook.  Working knowledge of Office 2007 would be a distinct advantage;

-  Excellent planning, organizational and prioritizing skills;

-  Excellent communication skills;

-  Good project management skills;

-  High attention to detail and accuracy;

-  Able to work independently and as part of a team.

 

The ideal candidate must demonstrate a strong record of loyalty, reliability and a desire to learn and grow within an expanding business.  This is a ‘hands on’ role and the successful applicant must be able to demonstrate proficiency in each of the duties outlined above.



Compensation:
