Project Coordinator/Administrative Assistant
POSITION SUMMARYThe Project Coordinator/Administrative Assistant is primarily responsible for supporting the Partner of Professional Standards and maintaining the software in accordance to the needs of Professional Standards. The Project Coordinator/Adminsistrative Assistant also provides support to all of the Partners and Managers in order to be in compliance of strict guidelines within Professional Standards as well as general administrative support as needed.ESSENTIAL DUTIES AND RESPONSIBILITIES- Build relationships with service line partners, managers, associates, administrative staff, and outside resources to adhere to Professional Standards of Accounting for the Boston Office.- Adhere to the highest degree of professional standards and strict confidentiality in matters that require discretion.- Run ad hoc reports within tight deadlines- Subject Matter Expert with many different Internal Software Systems - Coordinate all projects sent through the Boston office Professional Standards Partner including internal reviews and reviews by outside regulators.- Assist Partners with completing Practice Monitoring Tool Database in accordance with the Boston office reviews and the SEC Client Information Database as necessary along with various other databases.- Provide support for the Professional Standards Partner, Assurance Partners, and backup for the Business Services Department including billing, calendar management, travel arrangements, memos, letters, etc.- Provide general administrative support as directed.- Perform other job-related duties necessary.- Seek additional assignments with little supervision.QUALIFICATIONS AND REQUIREMENTS- 3-5+ years of experience in professional services preferably in public accounting or within an accounting department- Proficiency with Microsoft Word, Access, and PowerPoint- Expert knowledge of Excel is required (ability to formulate cells) - Strong communication skills, self-starter, excellent organizational skills, and excellent attendance record are musts.- Extremely detail oriented- Ability to work independently- Enjoys project work- Ability to quickly learn Internal Software Systems - Comfortable working closely with Senior Management - Ability to work in a deadline driven environment- Ability to work additional hours as needed to finish projects; some overtime and weekend hours may be required.
