The Sales Audit Coordinator is responsible for all sales related accounting including recording of sales for retail, mail order, internet and wholesale channels, retail sales audit and management of accounts receivable function, investigation of fraudulent or unusual transactions. For more information regarding the Mars Retail Group go to www.Mars.com,www.MMsWorld.com, and www.ethelschocolate.com Key Responsibilities· Performs the daily sales audit of the poll files from ethel’s Chocolate Lounge retail shops cash register· Performs an audit of each location’s daily paperwork to ensure that transactions are properly recorded, agree with the daily poll files, adequate support is provided, and in accordance with company policy. When store errors have occurred, the data must be corrected manually· Maintains weekly store register reports checking for accuracy, unusual or significant returns, cost of sales reasonableness, significant cash over or short variances, proper store use of funds, unusual discounts. Investigates and resolves discrepancies· Manage all Period-end Activities for Chocolate retail, wholesale and D2C businesses. Create and maintain journal vouchers listing for General Ledger Activity. Coordinate flow of all general ledger activities in order to accomplish a 2 day period close (i.e., create and input journal vouchers, analyze general ledger accounts and cost reports). Serve as interface between Retail and D2C systems and MFUSA GL system· Interacts with ethel’s Chocolate Lounge store managers and ensures efficient and timely communication of changes and issues in the sales audit area.· Handle opening new Chocolate wholesale accounts as well as follow the established procedures associated with it· Accurately and timely process Chocolate wholesale customer invoices for payment to ensure accurate and timely payment. Investigate and resolve any discrepancies.· Review open receivables listing and follow up on past due invoices by contacting customers documenting payment arrangements. Determine and follow procedures for collecting and controlling past due customers· Process Chocolate credit card billing for payments in Ecometry. Maintain relationship with Customer Service to assist in making sure that all charges are being processed on time and accurately· Assist in ensuring an adequate internal control environment as well as make recommendations regarding improvement of internal controls· Process refunds checks and Gift Certificates for Chocolate business.Additional Responsibilities:§ Assist in ensuring an adequate internal control environment as well as make recommendations regarding improvements of internal controls§ Perform ad hoc financial analysis as required§ Ability to train new associates and managers on related systems and accounting procedures§ Perform other duties as assigned to balance department workload and backup.
