Salary: $35,000 – 40,000
BACKGROUND & OVERVIEW:
Kyp Systems is a pioneering integrated marketing solutions company based out of London, England. In 2005 the company introduced the iKyp - - a patented paper-based marketing tool designed to improve marketing ROI. In 2007, the company opened its North American headquarters, based in Philadelphia. The company built a dynamic US team in its first year that created an impressive client list of forward-thinking marketers including Puma, Charles Schwab, DHL, GlaxoSmithKline, AstraZeneca, American Express and others.
The company is now developing targeted distribution networks and has gained exclusive rights to patented digital marketing technologies that are expanding its solution capabilities. Due to these advances and the size of the US market, the US team needs to expand its team to support the growth.
The US team is seeking a highly motivated individual that is interested in playing a key role to help continue building a global business from the ground floor. The experience will comprise the fun and excitement of a startup without the painful learning curve. This is a unique opportunity to work within a dynamic company, while learning the inner workings of building and executing a global business-2-business market strategy.
RESPONSIBILITIES
The Administrative Assistant will be responsible for a comprehensive range of administrative activities that support the achievement of business growth objectives for Kyp Systems. This will include, but not be limited to:Completes complex administrative projects including the coordinating and tracking of expenses, researching information to respond to questions, creating monthly reports, and organizing large volumes of material. Maintains departmental calendar and schedules meetings, business travel, conferences and departmental activities. Responsible for taking meeting minutes, arranging for audiovisual equipment, and setting up meeting facilities. Answers questions, directs requests to appropriate team members, and works with other stakeholders to exchange information when needed. Ensures the smooth running of the office on a daily basis (e.g. ordering supplies, interacting with building management, liaising with couriers, etc). Performs general secretarial duties including receiving telephone calls, screening and organizing mail, and filing. Maintains private and confidential human resource and other company files and records. Ensures incoming invoices are paid on a timely basis and provides weekly report of incoming invoices and payments.
QUALIFICATIONS AND PERSONAL ATTRIBUTES
The ideal candidate will have the following professional experience and skills:BS/BA degree desired.Proficient in Microsoft Office applications.At least 2 years administrative experience required. Ability to effectively multitask and handle high pressure situations.Strong communication skills (oral and written) and the ability to confidently communicate with a wide range of people, both internally and externally.Self-starter, confident in his/her abilities, motivated, and able to work effectively without continual supervision, and has a sense of urgency.Flexible in attitude and style to adapt to new situations in a rapidly changing, dynamic environment. Identifies opportunities for improvement and makes constructive suggestions for change. A strong value system, unquestioned integrity and good listening skills.
