Administrative Assistant for Prestigious PR Firm
Prestigious Public Relations firm is looking to add top talent to their team. The Chicago location is currently seeking an intelligent, professional, and energetic Administrative Assistant to support senior level management and group supervisors.
Responsibilities include: Handle all incoming and outgoing correspondence including phones, mail, typing, faxing, copying and filing Arrange travel including flights, hotel, rental car and other necessary arrangements Assist with client meetings when necessary Maintain departmental records including press kits, project budgets and expenses Place vendor orders when necessary; research new vendors Track groups paid time off information Handle meeting preparation including ordering food, reserving conference rooms and putting visitors on guest list Process invoices for payment Maintain central files for all clients, vendor invoices and new business Code accounts payable invoices for payment processing Assist group with processing finance materials Assist with client billing and budget trackers Participate in new business efforts as needed including the coordination of PowerPoint presentations Demonstrate professional behaviors and pursuit of excellence in all operations Conduct self in a professional manner and have a sense of confidentiality at all times
Requirements:
Bachelors degree and minimum of 2-3 years corporate experience or total of 5 years senior level support experience Advanced knowledge in MS Word and Excel documents, proficiency in Microsoft Outlook, and most importantly, extremely high level PowerPoint skills Knowledge of Photoshop is a plus Industry experience is preferred A strong sense of customer service Extreme attention to detail Proven written and verbal communication Proactive, resourceful, able to anticipate needs and be solution-oriented
