IMS is currently seeking a Billing Clerk for our Franklin, WI office. This position is responsible for billing all customer direct orders and other duties related to billing and accounts payable.

Primary duties and responsibilities include:

• Run, analyze and maintain an open order report for past due merchandise. Contact vendors and/or salespeople as needed
• Gather vendor invoices pertaining to each customer order, compare to purchase order for accuracy. Verify and match costs on customer orders and actual vendor costs.
• Vouch vendor invoices pertaining to direct orders
• Code and vouch UPS electronic invoice used by vendors to ship to IMS
• Capture all costs pertaining to order and run a preliminary billing report to verify that profit margins are within acceptable range. Inform and obtain salesperson’s approval if margins are low.
• Submit orders for invoicing
• Retrieve and distribute customer invoices
• Assist with freight and balance sheet reconciliation
• File unpaid invoices waiting for payment, match AP checks with invoices, and mail checks
• Assist supervisor with special projects


The ideal candidate will have an Associate’s degree, or higher, with 1-2 years of relevant Accounting experience. Experience with billing and account reconciliations is required. The individual will have strong problem solving skills, verbal and written communication skills and interpersonal skills. Must be proficient in Microsoft Excel & Word and have some experience with JD Edwards. Accuracy and attention to detail is extremely important. The ability to handle a wide variety of tasks and meet deadlines is essential to this position.
