Business Affairs Manager

Responsible for the business management of campaign financial activities including (budgeting, cost accounting, cost controls and contracting activities). 

 

Key Functions:Responsible for establishing all new and existing client budgets and job cost estimates based on Campaign components determined by the Campaign Management Supervisor.  He/she will work with the Campaign Directors and SVPs to ascertain an understanding of the clients’ program and business needs.At the time of contract negotiations, the Business Affairs Manager shall work with the Director of Legal & Business Affairs to establish an abstract of business terms (i.e.: start date, appropriate labor fees and monthly recurring fees, etc.), so that the Director for Legal & Business Affairs can draft the appropriate contract.Once a new contract or renewal contract is approved, the Business Affairs Manager will work with the Client Accounting Director to create all required “set ups” within the Donovan Data System, such as specific client codes for time reporting, billing and budgeting (inclusive of indirect rates, fixed and labor recovery fees, etc.).The Business Affairs Manager shall be the key representative of the organization for all financial billing and reporting, communications with Contracting Officers, COTR’s and financial representatives at private sponsored campaigns.  Such information or data shall be compiled from client accounting and campaign management records.The Business Affairs Manager will be responsible for submitting financial summaries and reports as required by government sponsors in accordance with the terms of each contract or campaign assigned.

 

Other Responsibilities:Prepare monthly, quarterly, annual and final financial accounting and perform reconciliations of sponsors’ funds incurred during the campaign period.  Maintain a compilation of direct labor reports prepared by accounting for campaign management and other department’s analysis.  Perform variance analyses and report to both accounting and campaign management.Participate in the annual, mid-year and final campaign budget review process.In coordination with Controller and Client Accounting Director, participate in the periodic reconciliation of various balance sheet accounts (inventory (WIP), accounts payable, accounts receivable and client advances) as well as the analysis of monthly sponsor billings.  Will serve as liaison with each Campaign Manager in regard to any transactions that require remediation.

 

Qualifications:

 Candidates should possess a Bachelor’s Degree (Business Administration Majors a plus)A minimum of 5+ yrs with a financial background in an advertising, media or service agency (must have essential knowledge of Advertising, Public Relations or Media industry)Must be a proactive, self-starter with ability to multitask and be extremely detail orientedMust be capable of working efficiently – independently and in a groupMust have excellent communication (written and verbal) and organizational skillsMust have strong negotiation skills and be able to coordinate resolution to pending mattersExperience with developing and enforcing organizational policies and proceduresAbility to build and maintain long-term client relationshipsProficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
