Executive Assistant
Position Summary: Relieves the executive of administrative-type functions in order to increase the time an executive has available for appropriate level responsibilities. May handle a wide variety of situations and conflicts involving clerical and administrative functions of the office. Is responsible for confidential and time-sensitive materials. Relies on experience and judgment to plan and accomplish goals. May direct and lead the work of others. Responsibilities: Oversees and administers the day-to-day activities of the executive(s) he/she supportsProvides assistance and support in problem solving, project planning and management, and development and execution of stated goals and objectivesPerforms research and analysis on specific issues, as required, and independently prepares non-routine letters and/or reports, which may be highly sensitive and confidential in natureServes as primary point of direct administrative contact and liaison with other offices, individuals, and external agencies on a range of specified issues; organizes and facilitates meetings, conferences, catering events, entertainment and gift selections, and other special events, as required May oversee and administer the day-to-day activities of one or more specialized program initiatives for the group, as assignedProvides and/or oversees the provision of direct staff support to the executive to include greeting and assisting visitors, handling phone calls and inquiries, scheduling and maintaining calendars and travel arrangements, preparing and managing expense reports, screening, analyzing, preparing responses to incoming correspondences, handling day-to-day public relations and problem solving Assists in the coordination, supervision, and completion of special projects, as appropriatePerforms miscellaneous job-related duties as assignedPerformance Standards Strong organizational skills Strong communication skills Extreme attention to detailProactive in assessing situations and in decision making skillsAble to juggle schedules and people
Requirements:
· 4-6 years of support experience, executive level preferredAbility to make administrative and procedural decisions and judgments on sensitive, confidential issuesSkills in the use of database management, word processing, spreadsheet, and/or presentation softwareAbility to plan, develop, and coordinate multiple projectsExceptional organizational and coordination skillsEffective communication skills, verbal and written Strong interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse groupSkills in budget preparation and fiscal management Knowledge of general accounting principles, office management and proceduresDemonstrated ability to maintain confidentialityProblem-solving skillsAbility to gather data, compile information, and prepare reports Ability to use independent judgment and to manage and impart confidential informationSkills in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedure Must have a professional manner Advanced knowledge of Microsoft Office Suite is required including, but not limited to: Word, PowerPoint, Excel and Lotus Notes
