Facilities Coordinator

 

Summary

The Facilities Coordinator will report to the Manager of Facilities Operations.  This position is responsible for the effective operation of all Facilities related functions and tasks required in support of the operation of Publicis Modem & Dialog’s business.

Primary ResponsibilitiesSpace Utilization Planning & Management

· Evaluate workspace capacity & demand.Seating AssignmentsPerform seating assignments using standard methodology and working with Manager and Human Resources.Office Moves

· Plan and orchestrate internal office moves and relocations

· Coordinate and distribute Move Information Packages to be used for each move and conduct frequent informational meetings to ensure the Facilities Operations Group, IT Group and the affected employees are well informed about the move schedule and their role in packing and moving

· Coordinate necessary furniture, power and data requirements to facilitate these moves.Administration

· Maintain a weekly space analysis/report

· Perform all Facilities-related purchasing using approved vendors and proceduresMaintenance

· Ensure interior painting is performed as needed

· Ensure lighting is maintained including lamp and ballast replacement

· Perform or oversee minor carpentry work/repairs

· Install keyboard trays and other related furniture components

· Perform minor furniture repairs

· Coordination with building maintenance and outside vendors to resolve HVAC, electrical and plumbing issues

· Order and maintain space-related supplies (ceiling tiles, lamps, paint)

· Manage replacement of acoustical ceiling tiles as required

· Manage Replacement of water filters at coffee stations

· Hang artwork, marker boards, etc.Manage Mail Room Operations

· Define procedures for effective Mail Room operations and ensure mail delivery is prompt.Manage Shipping/Receiving Function

· Define procedures and processes for effective Shipping and Receiving

· Process inbound and outbound shipments PurchasingManage supply purchasing for office as required to ensure an adequate supply of stock is always on hand.Responsible for ordering of all kitchen supplies ensuring supplies are always stocked and available.

QUALIFICATIONS:Demonstrated strong administrative skillsDemonstrated knowledge of facilities, project and administrative managementWell developed personal points of view on the Facilities disciplineConsultative selling and team building skillsGood verbal and written skillsAbility to work independently and adapt to new business situationsProficiency using office productivity software.Desire to excel and have an impact on the companies growthMinimum 3-7 years prior experienceExperience in use of TTI phone function preferredTo apply for this position, please click here.
