Meeting Coordinator
Cadent Medical Communications is a complete strategic marketing and medical education resource building advocacy for our clients' products and services. We are looking for an experienced Meeting Coordinator to provide meeting and event support.
Description of Duties:Creates meetings/events in registration system (Reg123) Manages extranet Manages registrations via phone, fax and internet Recruits for attendance via fax, phone and internet Creates, prepares and sends various meeting correspondence including invitations, welcome materials, travel confirmation,etc. Liaises with meeting attendees and faculty to ensure accurate travel, hotel and ground transportation arrangements Research restaurant options and negotiate contracts Assists account services in various pre, during and post meeting activities Provides weekly attendance updates to account services Creates and prepares all on-site materials (for attendees) for printing including sign-in sheet, syllabus, and evaluations/request forms, etc. Pack and ship needed material before meeting Reviews all action requests for related meeting Liaises with restaurant manager to ensure accurate food & beverage, meeting room setup and AV arrangements are secure Liaises with ground company to ensure accurate arrival and departure arrangements to and from the airport for speaker Responsible for securing AV needs for program Responsible for securing on-site staff or travel as needed Budget reconciliation, expense reimbursements and honorarium Program reconciliation in conjunction with CME Department Miscellaneous projects that come up regarding meetings
Minimum Requirements:High school diploma required College degree or some college preferred 1 - 2 years meeting and event planning experience Proficiency in Microsoft Office applications Ability to travel is required
