Meeting Planner

Healthcare advertising agency located in Gladstone, NJ seeks a qualified meeting planner with full-service meeting management experience in medical education and/or pharmaceutical programs.  This position is office-based, full-time and requires about 25-30% travel including weekends.

 

The meeting planner is responsible for all logistical components of meeting planning projects.  He/she plans, directs, and coordinates logistical activities to ensure that meeting objectives are accomplished within the required time frame, budget, and client expectations.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

·   Interacts with client on logistical details of program

·   Works with support staff and account management to implement meeting materials

·   Performs site search, negotiates hotel and supplier contracts

·   Handles logistical program correspondence

·   Maintains integrity of contract by tracking program-related costs and specifications

·   Updates timelines and communicates timelines to pertinent team members

·   Ensures program deliverables are met to the contract and client specifications

·   Provides weekly program status reports and budget updates

·   On-site management (hotel/AV needs/speakers)

·   Post-meeting reconciliation

 

Bachelor’s degree in Advertising, Marketing, or Management required, or equivalent job-related employment equal to 3 years in the healthcare industry.  CMP preferred.

 

SKILLSREQUIRED

 

·   Ability to analyze program requirements, and develop and implement action plans

·   Knowledge of meeting/event planning, hotel/catering, and travel

·   Ability to prioritize deadline-sensitive projects

·   Excellent organizational, oral, and written communication skills

·   Advanced knowledge of Microsoft Office: Word, PowerPoint and Excel

·   Ability to operate AV equipment, including LCD projectors, slide carousels, microphones
