STAFF ASSOCIATE
Become a member of an account team supporting a dynamic, expanding professional association. Under general direction of the Executive Director, provide administrative and other support relating to association client services and special projects. Attend board of directors meetings and conferences, prepare board and committee meeting agendas and minutes, assist with membership development, communications to board of directors, committee chairs and general membership, Work with internal company departments, such as meetings, publications, membership and public relations, in the general administration of the association and other client functions, as required. Determine when new administrative procedures are needed and recommend changes to management.
RESPONSIBILITIES:
· Prepare board of directors and committee minutes and assist Executive Director in preparation of agendas.
· Prepare correspondence to individuals and committees. Answer general and membership inquires regarding the association.
· Conduct report preparation for association board of directors meetings, and client projects.
· Coordinate and calendar schedules for committees. Send out meeting notices.
· Take detailed notes at association committee meetings as assigned and prepare meeting minutes.
· Develop working knowledge of assigned associations and respective activities through review of outgoing and incoming correspondence, pertinent reports, media articles, financial reports and other relevant materials.
· Keep Executive Director informed of activities and issues within scope of assigned responsibilities.
· Efficiently and constructively handle routine phone inquires about Association activities and membership.
· Attend association conferences, travel required.
· Able to handle receptionist duties as needed.
QUALIFICATIONS:
College degree.
· Sophisticated verbal skills; conscientious interest in problem-solving; intellectual curiosity and demonstrated initiative, creativity and determination to evolve successful solutions.
· Team player who is accountable for initiating and monitoring projects through to completion. Must be able to work productively with personnel at different levels within the organization.
· Project management skills essential.
· Proven ability to operate successfully in a challenging, multi-task environment with shifting priorities. Flexibility under competing time requirements and changing deadlines.
· Demonstrated organizational skills with consistent attention to detail.
· Computer literate with the “Can Do” approach to different software packages including Word, PowerPoint, and Excel. Must have prior experience using MS Office software.
· Proven written communication skills with the ability to provide professional writing for member communications and proofing and editing of others’ work.
· Able to deal effectively with a range of client association member personalities and communication styles.
· Self-motivated and goal-oriented.
· High energy, versatile and multi-task oriented, self-directed, and ability to handle accurately diverse details at one time. Project management skills essential.
· Must be a positive team player in a challenging and changing environment; includes working with and being dependent upon a variety of personnel. Flexibility under competing time requirements and changing deadlines. Excellent focus and a good sense of priorities. Detail oriented.
