Job Description Overview:The role requires a highly motivated and experienced sales assistant to support integrated account managers in all aspects of territory management. · Must understand the print and online advertising processes and be able to work orders through the system for both print and online. · Must have the necessary skills to draft and execute proposals, presentations, and reports under pressure, maintain high level of customer service in handling client inquiries, manage sophisticated database of sales contacts with a high attention to detail and accuracy, smoothly get correspondence out the door, work in tandem with internal sales support departments, utilize the internet for research on current and prospective clients, and be extremely organized. · Must be proficient in Excel, Power Point, Salesforce.com, and Solbright, Calendar Management. · Must be able to partner well and deal with high energy, busy sales people and their customers and internal support teams. Tasks Daily: Sort, distribute mail daily Maintain Ad Tracker Process all IOs/Maintain IO Book RFPs Assist Rep with gathering information and preparing RFP for print or online Assist rep/integrated sales team with Power Point or presentation materials Online campaign service: Manage the entire Solbright online order data entry and updating process. Enter Campaigns into third party management systems, e.g. Altas or MediaVisor—double check for accuracy Create Campaign Screenshots and distribute when campaign launches Manage insertion order changes through the life of the campaigns Manage and track the availability and changes to ad materials Print campaign assistance: Send IOs to BW Orders Check all orders for accuracy on price and materials (e.g. bleed, non-bleed) and match against confirmed deal—manage discrepancies with your rep and agency Work with production department on positioning issues when necessary Customer Care: Work with billing department to handle print billing issues Work with billing department to handle discrepancies with online billing due to discrepancies between Solbright and 3rd party ad serving issues. Answer phone/field requests Assist any customer requests SMART Management: Including, but not limited to database management including all updates, comp lists, e-mail promotions, assist with forecast entries, reporting and more. Travel: Arrangements, options and coordination. Liaise with production department (Materials, Revised IOs, Competitive separation) Liaise with Business Office (rates, adjusted rates, billing issues) Weekly: Marked BW Issue prepared with all territory’s ads marked for each Friday Work with rep to get issue mailing letters prepared and mailed or emailed Tear-sheeting territory advertisers from competitors Maintain library of competitive publications and relevant sales materials Travel: Arrangements, Options, and Coordination Manage comp list Monthly: Use Smart to help prepare rep’s monthly report-prepare for rep to proof,. Maintain budgets. Prepare a monthly budget report for VP’s sign off. (VP’s asst) T&E: Submit complete report for the previous month by the 5th of the following month. Report missing receipts or other issues that prevent the filing of the report.
