Title: Associate Logistics Manager, Logistics Manager, Senior Logistics Manager
Reports to: Speakers’ Bureau Manager
Position Qualifications Summary:
Logistics Manager must have a Bachelor’s degree (preferred) or commensurate work experience, and at least 1-3 years of work experience in medical education or other pharmaceutical event planning. A working knowledge of Microsoft Office (Word, Excel) and general computer literacy is required. Logistics Managers must have good oral communication skills/good phone skills, customer service skills, and must be organized, detail oriented, flexible, able to prioritize and meet deadlines, and interact well with varying processes and personalities.
Logistics Managers will be the logistical planning counterpart for designated Program Managers and will work closely with the Attendees Services Coordinator, Program Manager(s) and external vendors to ensure a flawless execution of each program. Logistics Managers will be responsible for the arrangement of program logistics and will secondarily develop positive relationships with the speakers and sales representatives.
Responsibilities:Contact requested venue(s) to verify that the venue hosts speaker bureau programs and will adhere to client guidelines (eg, Budget, Private room), and to request scheduling information and contractReview Contract/BEO; work with Program Manager to ensure Rep needs have not changed prior to finalizing contractSelect food and beverage in compliance with client guidelinesProvide venue guarantees and make 2-day out pre-program venue follow-upOrder and confirm audio/visual requirements with vendorCreate PDF/flyer invitation based on confirmed program specifications; communicate quantities and recipient information to print vendor for fulfillment/shipmentAct as secondary contact for speaker, sales representative and account services to provide updates re program status or to answer planning-related questions when Program Manager(s) in group are already on a callAct as a secondary contact for venues, caterers and audio-visual vendors to manage the logistics of programs in the group when Program Planner(s) in group are already on a callProvide low registration follow-up/notifications to sales forceRequest attendee packets from Attendee Services Coordinators, prepare event specific cover materials and provide to Attendee Services Coordinator and representative as neededReview and sign-off on Attendee Services Coordinator’s tasks as appropriate; mentor as appropriateTrack and data enter estimated and actual costs for the venue and AVLog all program activities appropriately and accurately in databaseAttend and contribute to weekly team status meetings (internal)Assist in training new team members as appropriate or assignedAfter training, attain a basic understanding of product information and disease state of therapeutic areaAttend local events to experience the whole program and see how TSG’s advance planning translates into the execution of a programOther projects as assigned by supervisor
