Sr. Field Administrator
The primary responsibility of a Field Administrator is to assist with the daily office administration of the Dealer Advertising Association (DAA) field office. Other responsibilities include but are not limited to:
• Extensive interaction with Business Center Chrysler clients and dealer clients.
• Assist the team in operating as efficiently as possible by providing daily administrative support
• Traffic TV, radio, newspaper, and program ads, coordinate production, and process creative dub orders
• Process, update, and submit agency billing, DAA invoices, budget recaps, matching funds authorizations, and accounts receivable
• Work closely with DAA Accounting firms
• Update, coordinate, and distribute status and financial reports
• Handle client requests and inquiries
• Manage calendar and contact lists for direct supervisor
• Organize and coordinate weekly, monthly, and yearly meetings or events (i.e. award show entries) and provide support in the development of meeting materials
• Arrange and coordinate travel arrangements and complete supporting travel documents (travel authorizations, expense reports, etc)
• Type and distribute emails, letters, memos, and other communications
• Record attendance for department personnel
• Act as liaison between direct supervisor, clients, and various departments within the agency
• Update department lists, floor plans, and organization charts
• Multi-task, problem solve, answer phones, organize and distribute mail, make copies, maintain files (hard copy and electronic), as well as other daily administrative tasks
• Travel to Lutherville, MD office 1-2 days week
• 2-3 years of Administrative experience in an office environment
• Strong administrative, interpersonal, communication, financial, and detailed-reporting skills
• Proficient in MS Office
• Must be a strategic thinker, self-motivated, and possess a high level of initiative
• Excellent written and verbal communication skills
• Organizational, multi-tasking, and interpersonal skills
