Administrative Assistant 

On a day to day basis, the Administrative Assistant will be responsible for:

- Supporting daily administrative activities for multiple functions (sales, marketing, purchasing and general management)

- Reviewing and distributing routine correspondence (e-mails & faxes)

- Directing routine calls and inquiries from outside vendors and customers

--imputing computer data and running ad-hoc reports

- maintaining customer, supplier and certified material files

 

To be qualified for this role, we are looking for a candidate with:

- some college education (preferred)

- a minimum of 2-3 years administrative assistant experience

- a professional demeanor - excellent communication and interpersonal skills

- strong MS Office skills (Excel, Outlook, Powerpoint, Word)

- a positive team player attitude

- a detail-oriented approach to problem solving

- an ability to learn new skills and improve individual performance

- a desire to grow professionally

 

Responsibilities may include:

preparing quotes, entering orders, preparing shipping papers, reviewing contracts and maintaining databases; maintaining files;

overseeing inventory sales program (new internet-based program)

 

Also, you may assist in other administrative functions: answer phone, e-mail and Fax inquiries regarding availability and price of products; and maintain data for reporting open quote status.

 

You possess strong organizational skills, which will be essential when dealing with multiple tasks and priorities in this dynamic work environment. You will also work closely with other staff to assist and support them during their interactions with customers and suppliers
