Administrative Associate
Provide Administrative support to the Herndon Supply Chain Management (SCM)/Subcontracts staff as well as backup support to the STO administrative and program management staff. Perform a wide variety of administrative tasks in support of the division environment as described below: -Establish and maintain subcontract files -Ensure files are in compliance to government requirements -Attend SCM training courses -Provide backup coverage to SCM to generate purchase orders and process invoices -Use Microsoft applications for the generation of presentations, charts, tables, spreadsheets, reports, correspondence and memoranda with speed and accuracy -Assist with purchase request generation, invoice distribution, and cost transfers -Ship and Receive packages through carriers -POC for vendors and delivery of ordered equipment and supplies -Operate office machinery including personal computers, copier machines, fax machines, calculators, etc. -Gather, compile and prepare data into a variety of formats including networking to expedite work and projects -Assist the division staff with proposal generation -Assist with travel arrangements, review expense reports for off-site personnel -Route forms and/or documents for approval and processing -Proactively anticipate and manage time -Assist with visitor escort and interviews -Assist in the arrangement of hospitality/catering for meetings -Assist in the coordination of activities such as social events, meals, coffee, and group meetings -Provide backup telephone coverage -Assist with distribution of received hardcopy mail -Send and receive faxes and make copies -Prepare and assemble packages to send via overnight courier or postal -Assist in maintaining conference room schedule -Set up teleconferences -Assist Facility staff as required -Serve as a back up for full-time receptionist -Perform other duties as assigned Required Skills: -4 years of current experience in a related field. -Ability to obtain a TS/SCI security clearance -Candidate must have excellent written, verbal, and interpersonal skills and must exhibit discretion, courtesy and sound judgment -Ability to deal with company sensitive subjects with confidentiality -Demonstrated proficiency in Microsoft Office software (Word, Excel, PowerPoint), and Lotus Notes -Work with minimal supervision -Ability to handle support requests from multiple sources -Ability to work in a fast past environment -Flexibility with work schedule and assignments -Knowledge of government contracting environment Desired Skills: Knowledge of JAMIS, IXOS, and ISAMS.
