Office/Project Manager
Overview
Reporting directly to the Senior Vice President, Safety, Operations and Infrastructure (SO&I), the incumbent is responsible for providing managerial support and assistance to the Senior Vice President, SO&I as key initiatives are processed and for ensuring the smooth and efficient communication within the division and coordination of numerous activities within SO&I.
Responsibilities
The Senior Vice President, SO&I needs efficient planning and monitoring of the SO&I workload. The functions held by the Office Manager, SO&I will be twofold:
1/. Managerial duties: Assist the Senior Vice President, SO&I in the preparation of his outputs; ensure appropriate coordination and collaboration between staff in the Division; help define and monitor the Division team’s deliverables; facilitate effective Senior Vice President, SO&I’s communications; act as liaison between the Senior Vice President, SO&I and his management team, specifically in the regions.
2/. Substantive matters: Advise the Senior Vice President, SO&I and his management team, as required, on the content and preparation of reports, notes and letters; liaise with the internal and external stakeholders in relation to the programme of work of the Division; prepare and oversee the Senior Vice President, SO&I’s agenda of internal and external meetings and events, in close coordination with relevant colleagues.
Specific tasks:
Lead, motivate and develop the administrative team providing support to the Senior Vice President, SO&I and the rest of the division;
Harness and co-ordinate expertise and action across the Division, including the regions, in developing strategic responses to current issues and challenges;
Assist in identifying emerging external strategy and policy issues, as well as internal operational and management issues;
Ensure efficient planning and coordination of meetings and events and liaise with relevant parties to prepare briefings;
Provide management oversight and quality control of processing of the Senior Vice President, SO&I's incoming correspondence (internal and external);
Participate in the meetings of the Division and provide, as required, technical and substantive support;
Co-ordinate and implement effective internal communication.
Requirements
University degree in Business Administration, Engineering or relevant discipline;
Minimum of five years experience in a similar role, preferably in a multinational company;
Team oriented with a proven capacity to work autonomously and effectively, in a cross-functional, multi-cultural environment and with people at all levels within and outside the organisation;
Proven organizational, analytical, project, administrative and interpersonal skills: proactive, flexible and dynamic individual who can quickly adjust to rapidly changing priorities;
Demonstrated capacity to work within limited timeframe: The ability to work to strict deadlines and the ability to remain focus under pressure are paramount to this challenging role;
Excellent PC skills, particularly MS Office;
Excellent communication skills (spoken and written) in English; knowledge of other languages an asset.
