Hexcel is seeking a Plant Receptionist in our Casa Grande, AZ facility.
Position description:
Performs Plant receptionist and switchboard duties, acts as the Plant focal point for security camera, visitor, and gate monitoring during normal business hours, and handles a multitude of administrative clerical duties of varying difficulty for the Human Resources Department by performing the following duties. Answers/forwards all plant telephone inquiries, and distributes messages received at the main switchboard voice messaging center. Greets visitors to front lobby and obtains permissions from hosts to allow visitors entry beyond the lobby. Greets job applicants, distributes job application forms, ensures applications are completed on-site, and collects completed application forms from job applicants, placing the completed forms in the HR Reps office ASAP. Ensures that application forms are never left unattended in the lobby. Files new job listings in Job Opening books in the lobby, and removes job listings as directed by the HR Manager or HR Rep. Ensures that the Job Opening books are not removed from the lobby. Secures Job Opening books in locked file cabinet at end of each day. Monitors security cameras, responds to visitor/vendor requests for access to secured parking areas, determines if visitors/vendors can be admitted to the parking lots, and opens gates for approved visitors during normal business hours. Produces and issues ID and access badges for employees, plant visitors, and vendors/contractors in compliance with the Plant security protocols. Responsible for the maintenance of the badging systems for the Casa Grande facility. Maintains "badge instance" log, including notification of badge infractions to Facilitators. Maintains visitor log, ensures that all visitors sign a Visitor Agreement, and confirms with HR Manager that non-U.S. Persons who visit the facility have proper clearance (i.e. Letter of Assurance approval) prior to allowing visitor to be escorted beyond the lobby. Acts as back-up to pick up mail from post office, sort mail internally, post outgoing mail, and deliver mail to post office. Orders and maintains adequate inventory of supplies, including but not limited to: Time Off Requests, employment applications, physical forms, envelopes, ID badge supplies, non-prescription safety glasses and side shields for visitors, benefit forms, job bid forms, and a variety of related forms and items. Maintains and distributes employee discount forms for employee recreational opportunities. Acts as liaison with vending machine company for cash refunds and equipment problems. Provides general clerical support, as needed, to Human Resources Department including but not limited to: preparation of computer generated letters, reports, charts, graphs; copying and filing of various documents; distribution of HR related forms to the general employee population. Establishes and/or maintains a viable customer/supplier relationship with all customers and suppliers. Maintain a safe, clean and secure work environment. Actively support and interact in monthly and/or plant refresher safety training using available resources and prescribed goals to determine and subsequently help eliminate actual and potential safety issues, unsafe acts and/or conditions to preclude accidents, to keep Hexcel employees safe, and to achieve the Department/Plant and/or Corporate Safety goals and objectives. Operate at all times in compliance with the Hexcel Casa Grande Quality System and Quality Policy. Comply with Hexcel policies, procedures, and Code of Business Conduct.
Position requirements:
High school diploma, general education degree (GED), or the equivalent, plus one year significant clerical and receptionist experience dealing with customers, job applicants, vendors, and the general public, preferably for a large company. Must be able to manage heavy phone traffic on a multi-line PBX system, type a minimum of 45 wpm, and have strong word-processing skills. Strong communication skills necessary. Computer literate with good working knowledge of Microsoft Office, including Word, Excel, Access, PowerPoint or equivalent software packages. Valid AZ driver license and good driving record required.
