Maintenance Department-Account Manager

Job Description/ Responsibilities 

 Crew Supervision- The Account Manager will be responsible for all aspects of the crews assigned to manage his/her portfolio of work.  The AM will monitor crew performance as it relates to safety, quality and efficiency.  The crews assigned to the AM will report directly to him/her.

 Extra Work/Install/Upgrade Sales- HS account manger is to sell, order, plan and coordinate all extra work and install activities that are to be implemented by the maintenance crews. Work to be completed by the install crews will be coordinated with the installation department. Each property should have a file that contains information related to flower quantities/types, mulch, irrigation etc. AM is to make sure “extra work” hours are designated on the crew’s timesheets and separated from regular maintenance hours. The account manger is responsible for working with each account to identify and sell upgrades and extra work such as flowers, drainage, tree trimming, and landscape install etc. The account manger will be responsible for maintaining a report of sales and the pipeline.

 Customer Relationship Management- HS account manager meets with the manager each month to do a property inspection and ensure that the client’s needs are being met. A list of the property mangers names and personal information such as birthdays, children’s names, etc. should be created and maintained by the account manger (client data file). Birthdays and other special dates are to be recognized and a card should be sent.

 Expenses- The account manager must maintain monthly expense reports detailing all expense activity related to the department. If receipts are not turned in to the Office Manager on the designated day, AM will be responsible for paying the expense out of pocket. The AM is responsible for following pre-set monthly budgets.

 Profit and Loss- HS Account manager should meet with HS Operations manager to review P&L statements for each property. The HS Account Manager should also look for additional ways to increase profit and efficiency.  Overtime, routes, chemical usage, crew size, equipment and any other factors determined to affect profitability should be reviewed and used for the strategic planning.

 Quality Control- HS account manager visits each property a minimum of once a month. The visit is to inspect the quality of the maintenance and to maintain a strong relationship with the client. A quality inspection report needs to be filled out and signed by the property manager or assist. manager. The account manger should schedule visits at a time when the crews are working at the property in order to spend time training and talking with the crews. A work order should be generated for any issues that need to be addressed by the crews.

 Equipment Management- HS account manger manages the inventory, maintenance, and purchasing of all maintenance equipment (with OM approval). HS AM ensures that the designated crew members are doing weekly maintenance on all equipment and ensures that the equipment maintenance form is being filled out and followed weekly. The HS AM will also ensure equipment is repaired in a timely manner and that we have a strong and effective relationship with an equipment company. In addition, the HS AM is to make sure we have an inventory of commonly used items on hand, i.e.: oil, filters, fuel mix, grease, weed eater string, blades, spark plugs, goggles, masks, ear plugs, etc.

 Scheduling- HS account manager is responsible for implementation of the crew’s fertilization, irrigation testing, disease and pest control, rye, pre-emergent, etc. for each property. HS AM will work with HS OM to ensure the properties are receiving the proper maintenance service.

 Strategic Planning- HS account manager should create a strategic plan for maintenance management. A “diary” of data related to implementation should be kept based on successes and failures throughout the year in order to create the strategic and tactical plan moving forward.

 HR- HS account manager is to manage the personnel in the department and ensure that each employee is performing at an acceptable level. Disciplinary action forms, hiring and termination of employees is a responsibility of this person.

 Horticulture Knowledge- Must have working knowledge and identification of common plants of Houston Area.

 Departmental Structure - AM will report directly to the OM.  AM responsibilities may not be limited to only those outlined in the above description.
