Administrative Assistant – Research Triangle Park, NC

 

Role Purpose –

 

Provides administrative support to the Head of Site Operations and the Head of Biotech R+D.Accountabilities -

 Coordinate all aspects of meetings, teleconferences to include, but not limited to, scheduling, catering, meeting room reservation, and agenda distribution.Manage calendars and scheduling in OutlookArrange detailed travel itinerariesObtain travel visas and passport updatesProcess travel expensesArrange complex meeting schedules and travel details for visitors/guests of managers Create presentations using Microsoft PowerPointOrder office supplies as neededProcess incoming invoicesPrepare correspondence, both email and hard copy

 

Knowledge, experience & capabilities –

 

Critical knowledgeMinimum of five years experience supporting senior level managersExtensive experience working in a confidential environment and managing materials of a sensitive nature.Ability to anticipate possible scheduling conflicts or upcoming deadlines/actions for managers and proactively resolve the conflicts.

 

Critical experienceExperience in onsite and offsite meeting/event planning is highly desirable.Experience working in an international company is desirable.Excellent verbal & written communication skills are required, including a high level of proficiency in Outlook and Microsoft Office, ie. Excel, PowerPoint, Word.Familiarity with general office and AV equipment.
