Mason & Hanger is a Day & Zimmermann company.TITLE: Project Administrator - Construction AdministrationPOSITION SUMMARY:Provide support services to Project and Department managers within Mason and Hanger.ESSENTIAL DUTIES & RESPONSIBILITIES:•Effectively interface with accounting, Vice President and project mangers, internal customers, and external vendors. •Effectively manage multiple, sometimes conflicting priorities, fast-pace and demanding environment.•Change order management.•Create, update and revise APP, EPP, SWPP and QC Plans as well as other related documents at the direction of the project managers and COE.•Process, record and track subcontract agreements, purchase orders, change orders and modifications•Responsible for subcontract, purchase order and change order completion. Scope (assembling and revisions).•Assist in preparation and assembly of new and existing bids, track possible upcoming opportunities, review bid documents for spec. completion and accuracy and arrange for timely delivery.•Review and screen mail, directing correspondence to appropriate party.•Type reports, letters and memos using MS Office software and SAP. •Coordinate travel arrangements, i.e., reservations, itineraries and expense reports.•Answer/screen telephone calls, assist callers and record accurate messages. •Compile and prepare information for presentations. •Maintain files according to business standards.•Plan and coordinate meetings.•Execute other administrative assignments as appropriate.•Maintain electronic calendar and prioritize meeting requests as required.•Attend and generate note and action items list for meetings.•Travel arrangements and authorization forms for engineers and clients, overtime authorization forms, lunch/breakfast arrangements.•Maintain and update Expedition, Excel spreadsheets for external and internal use and process subcontracts, purchase orders and change orders in SAP.•Initiate and maintain positive work relations with key field personnel and ensure document duplication to respective sites.•Other duties as assignedKNOWLEDGE SKILLS & ABILITIES:•Ability to conduct oneself in a professional manner at all times – necessitating tact and diplomacy.•Flexibility, maturity and self-confidence. •Excellent verbal and written communication skills.•Proficient in MS Office.•Organize and prioritize work assignments.•Work independently with minimal direction.•Excellent interpersonal skills. •SAP knowledge a plus.•Associate’s degree in related field •Minimum of 5 years construction administration experience. Preferably Government Sector
