Showroom Coordinator/Sales Support Administration

This position supports seven showrooms across the United States and Canada by providing excellent customer service, problem solving, and research in a timely and professional manner.  The position is responsible for accurately placing all customer orders and then tracking these orders for on-time delivery.  The position is also responsible for professional communication regarding the status and delivery of orders to showrooms and/or customers.





Job duties include:

Respond to requests for price quotes on company products: obtain information on desired design elements, finishes and other matters.  Examine orders for completeness and accuracy.Perform data entry into our information system, MACOLA,  of new orders from showrooms, repair orders, and replacement orders.  Orders should be placed within 24 hours of receiving.Check status of pending orders through communication with production and via our online information system and communicate with showrooms on status.  Follow up on requests by showrooms regarding status should be completed within 24 hours.  Communicate with production on order status, clarification of orders placed, expected completion dates, etc.  Assist showrooms in resolving issues with client orders on own or by communicating with technical personnel.  Then, communicate via e-mail and phone in a timely manner to the showroom.Coordinate and source delivery of products by determining crated and uncrated weights and dimensions of products, retrieve freight quotes for orders via shipping carriers websites.  Make decision for shipping method based on most economical means.Authorize return of goods when necessary.  Follow up on damages to ensure that they are returned and repaired in a timely manner.  Coordinate pick up and shipment of goods.  Communicate showroom and/or customer on status and anticipated delivery.  Complete necessary accounting work (i.e. posting of payments, reconciling balance of open orders, notifying showrooms of pending payments due).Customer service, communication, and follow through are key components of this position.
