Executive Assistant

We are currently seeking an experienced, professional, confidential Executive Assistant to support our VP of Operations.  

This position is responsible for:

·  Maintaining official corporate records.

·  Performing administrative, analytical and technical support functions for the VP of Operations.  

·  Calendar Management and appointment scheduling while creating efficiencies for the VP of Operations by routing appropriate information to other members of the operations team. 

·  Organizing programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers and controlling event budget.

·  Scheduling and organizing complex activities such as meetings, travel, and department activities for all members of the Senior Management Team.

·  Creating and developing visual presentations for the Vice President that include animation, music and graphics.

·  Preparing agendas, notices, minutes and resolutions for corporate meetings.

·  Accurately transcribing dictation, composing and preparing confidential correspondence, reports and other complex documents.

·  Creating and maintaining complex database and spreadsheet files.

·  Ability to work overtime as dictated by business need; has the ability to travel for business on short notice
