Project Coordinator
SUMMARY:
The project coordinator reports to the Projects Manager and is responsible for maintaining schedules and documentation required to support training and publication projects (including translation projects) from analysis to implementation and evaluation. The project coordinator must ensure that T&P personnel follow consistent, efficient processes in accordance with ISO 9001:2000 procedures.
DUTIES AND RESPONSIBILITIES include the following: (Other duties may be assigned.)
· Ensure that documented processes are followed and encourage suggestions for improvement
· Review customer RFQs and determine needed resources required to complete project tasks
· Identify qualified resources, including outsourcing availability for development staff
· Obtain job quotes from freelance and outsourced contractors
· Create PCA requests and project schedules to support project proposals
· Create and maintain project files
· Prepare purchase order requests for contracted resources
· Distribute project numbers, P.O. numbers, task ID and schedules to assigned resources
· Coordinate customer Start of Work meetings and assure key personnel are in advised and in attendance
· Present TTi/ISO process and introduce required documentation at customer Start of Work meeting
· Determine customer’s project requirements (technical and non-technical), goals, and objectives and conduct needs analysis if required
· Develop Design Document and revise per customer input
· Coordinate development of storyboards and distribute approved material to appropriate personnel
· Monitor the day-to-day work effort of the staff assigned to projects
· Identify and request needed resources (source files, art, information, hardware, etc.) from customer
· Maintain Project Revision Logs and distribute as appropriate
· Monitor project schedules, create and distribute status reports as specified or requiredMonitor projects for adherence to timeline, budget, and scope, and recommend solutions for bringing non-conforming projects back into compliance
· Ensure that projects are complete and meet requirements before delivery to customerSchedule project closing meetings (Lessons Learned)
QUALIFICATIONS and/or EQUIVALENT WORK EXPERIENCE:
· Knowledge of technical training and publication development processes
· Ability to learn the tools and processes for effective instructional design
· Experience working with customers to address business needs
· Working knowledge of Microsoft Office products (MS Word, Excel, PowerPoint, Project and VISIO)
· Ability to communicate effectively with coworkers, management personnel, and customers to ensure the timely completion of multiple projects within budget and on time
· Ability to write customer correspondence, status reports, proposals, and other documents that are free from errors
· Ability to coordinate the work of in-house and freelance personnel
· Ability to foster teamwork within T&P and with other TTI teams
· Degree in communications, education, or business; Master’s degree in Instructional Technology preferred
