Escrow Officer I, II or III DOE

**Locations available:  Fruitland, ID; Driggs, ID; Jackson, WY and Kalispell, MT 

SUMMARY:

Escrow Officer II:  Under limited supervisor and periodic audits, works within established policies and procedures, accurately open, process, and close escrow transactions. Develops customer relationships, maintains business by demonstrating professional customer service and communication. Assists team in maintaining profitability.

Escrow Officer III:  Under minimal supervisor and reviews, works within established policies and procedures, accurately open, process, and close residential and/or commercial escrow transactions. Develops customer relationships, maintains business by demonstrating professional customer service and communication. Assists team in maintaining profitability.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.



Escrow Officer II:

1.  Officers work with relative independence to process residential escrows, generally involving cash, refinance, Equity Loans, Lot Closing, new loan or seller-carry back transactions.  May be called upon to assist in preparing closing documents for more complicated and higher liability nature, such as commercial escrows.

2.  Will advise Escrow Officer I on less complicated transactions.

3.  Prepares preprinted documents, closing statements and escrow instructions, presents to buyers and sellers at closing and coordinates timing of closing, recording, disbursement of funds and issuance of title insurance policy.

4.  Communicates accurately, timely, and effectively with all parties involved in the transaction. 

5.  Receives and carries out written and verbal instructions.

6.  Insures that each escrow folder is properly completed and its contents filed in accordance with standardized escrow procedures. 

7.  Insures that all terms and conditions of the purchase and sale agreement are complied with.

8.  Responsible for obtaining necessary instruments and demands to clear title for closing.

9.  Executes unit or branch business development plan to maintain and acquires new customers.

10. May contact brokers, real estate agents, builders, attorneys, lenders and other customers to solicit business and ascertain the individual service needs to the customer through excellent communication skills.

11. Actively participates in industry related functions, during and after normal business hours.

12. Provides educational support to clients when requested.

13. Performs notary duties following the National Notary Association guidelines.

14. Mentors and encourages personal and professional growth of team members.

15. Provide leadership role to Escrow Assistant, trains, assign tasks, and reviews performance.  Provides performance feedback on Escrow Assistant and/or EO I to unit or department manager. 

16. May have training responsibilities for assistant personnel.

17. Work overtime as required to meet the business needs.

18. Consistently works pre-established work schedule.

19. Participates in cross training to meet the business strategies.

Escrow Officer III:

1.  Accurately closes residential escrows that may involve all-inclusive deeds of trust, and wrap contracts.  May be called upon to prepare closing escrows of a more complicated and higher liability nature, such as commercial escrows.

2.  Maintains regular and loyal clientele.

3.  Will advise Escrow Officer I/II on transactions.

4.  Prepares preprinted documents, closing statements and escrow instructions, presents to buyers and sellers at closing and coordinates timing of closing, recording, disbursement of funds and issuance of title insurance policy.

5.  Insures that all terms and conditions of the purchase and sale agreement are complied with.

MINIMUM QUALIFICATIONS:

Education:

High school diploma or equivalent required. 

Experience:

Escrow Officer II: Thorough knowledge of residential real estate escrows and title insurance.  In addition to passing the Escrow Officer I assessment, must have one to three years experience as an Escrow Officer I.

Escrow Officer III:  Experienced level position.  Extensive knowledge of residential escrow closings.  Thorough understanding of commercial escrow closings.  In addition to passing the Escrow Officer II assessment, must have a minimum of five years experience as an Escrow Officer.

 

Skills:

Computer literacy required, proficient with an escrow software system, MS Word and Excel, electronic email, Intranet and Internet savvy, typing 40 wpm, 10-Key, operates office machines such as a typewriter, fax, scanner and phone system.  Must have good math skills, proven accuracy skills with the ability to proofread and correct errors, and have excellent written and verbal communication skills to enhance the overall customer experience.  Must possess strong organizational skills and have a high attention to detail.  Must maintain valid Notary Commission and valid state driver’s license.

Escrow Officer I:  Must portray the highest degree of professionalism and confidentiality.  Must portray a positive attitude in appearance, tone of voice, and overall demeanor.  Portrays sincere, warm, caring customer service and ability to handle difficult or demanding customers.  Ability to work with multiple files, tasks and deadlines. Must possess the ability to relay information clearly and concisely. Must have the ability to resolve customer problems in a timely and satisfactory manner. Must possess a sense of urgency to meet on-going deadlines. Must have the ability to; build productive customer relationships, handle personal data in confidence, learn to perform a task through on-the-job training, adjust effectively to changing, new or different situations, and manage stress of deadlines and high volume workload.
