Exectutive Assitant/Office Administrator

We are seeking to hire an executive assistant/office administrator to run the day-to-day functions of the office and handle all administrative issues. This is a great opportunity for someone who is entrepreneurial and has an interest in the security investment industry.
The ideal candidate will have experience in the financial services industry, and have worked in a multi-faceted administrative role. This position is ideal for someone who has the ability to multi-task and is highly organized with excellent leadership skills. This is a proactive, fast paced working environment that requires strong corporate experience and business sense. Must be able to handle executive level communications, presentations, interface with outside investors and maintain strong relations with the NY office. The ideal candidate is someone who is assertive yet personable and can deal with people at all different levels.In addition this person should be honest, discreet, and possess excellent communication skills.
The office services component of the job consists of vendor and facilities management, IT maintenance (in conjunction with NY IT department), ensuring the smooth functioning of all aspects of the office—handling post, stationery/supplies, etc., overseeing business continuity plans, reviewing vendor and service contracts, working with HR to provide HR/Benefits support to the Seattle employees, working with Finance on budgeting and reporting issues and accounts payable/invoices, working with Legal/Compliance with recordkeeping, monitoring incoming electronic/mail and forwarding to respective compliance officer and gathering and following-up on regular compliance reporting. Must maintain relationships with building management and personnel.
The Executive Assistant component provides support for the Head of the Seattle Office, in addition to the entire research team based in Seattle (5 professionals). This aspect of the position requires calendar management, travel arrangements, organizing and hosting office meetings, preparing T&E reports, providing phone coverage, coordinating efforts with corporate office in New York, and personal assistant work. The candidate will also from time to time provide support services (i.e. model/database work) to research and marketing (presentations, etc.).
Finally, duties will include acting as the office receptionist (when guests are expected) and answering the main telephone line.
Requirements:
Previous Administrative experience
University level education preferred
Strong organizational skills
Proactive, but personable demeanor
Knowledge of Microsoft Office products is a must
Ability to work independently and follow through on all assignments
Hours: 8:00 – 4:30 and must be flexible for occasional overtime
