AIG Retirement serves over 28,000 client groups and more than two million participants.OverviewThe Executive Administrative Assistant acts as the primary support role to the Senior Vice President, Human Resources. This function includes general administrative duties, expense processing, preparation of reports and presentations, and coordination of travel arrangements, managing multiple schedules/calendars and interfacing with senior managers of AIG Retirement Services. OrganizationThe Executive Administrative Assistant reports directly to the Senior Vice President, Human Resources. This employee works closely with the entire team to support scheduling, travel coordination and various internal processes. The position is based in Houston, Texas in the Woodson Building. Performance Objectives1. Travel Management. This function requires responsiveness to heavy and always changing travel demands. This will include managing calendar and coordinating travel arrangements, both commercial and company, on behalf of the Senior Vice President, Human Resources and select staff, obtaining internal approvals and coordination utilizing SABRE (Online travel booking system).2. Expense Processing. This involves the management of executive-level expense accounts and processing the expenses in a timely manner. It will require knowledge of accounting basics, learning the software and procedures, and understanding and complying with all expenses policies, guidelines, and deadlines.3. Time Management & Calendar. Assuming responsibility for time management is essential. The Senior VP and team members rely solely on information on their calendars for travel, meeting confirmation and all other activities. The expectation is to manage schedules, to plan ahead, anticipate obstacles and respond to constant changes. This requires attention to detail and immediate responsiveness. Review and prepare the departmental staffs’ time and attendance reports for appropriate supervisory approval.4. Project Management. At times, may be involved in various Human Resources projects to gain comprehensive knowledge of the HR function.5. General Administrative Duties. This includes answering telephones, call forwarding, maintain and order office supplies and problem resolution.About AIG: American International Group, Inc.
