Scope Provides general administrative support to executive and senior management staff including managing calendars and schedules; organizing and coordinating travel and meeting arrangements; confirming meeting minutes; and filing expense reports. Responsibilities and Duties Coordinates activities between departments and outside parties. Contacts company personnel at all organizational levels to gather information and prepare reports. Assignments may be found in various functional areas. Undertake general administrative duties on behalf of the senior management team including mailing, faxing Ensure the proper administration of all projects including associated filing, reporting, archiving and posting Ensure that accurate minutes are taken at weekly senior management meetings and distributed in a timely manner Produce documentation and reports in MS Powerpoint, MS Word and MS Excel according to the needs of the team Who we are looking for The Executive Assistant should possess the following characteristics and qualifications: • Enthusiastic, pleasant, and mature team player who is self-directed and can perform complex administrative duties that will require confidentiality and professionalism. • Able to communicate clearly and professionally (both orally and in writing) with all levels of management and staff, as well as external contacts. • Evidence of sound, ethical judgment as well as sensitivity and discretion in handling confidential information and situations. • Skill to organize, prioritize and complete multiple tasks in a timely and professional manner. •Advanced proficiency in MS Outlook, Word and Excel is required. •At least eight years experience supporting a high-level executive.
