To make your mark as Legal Secretary you will: -Provide administrative/secretarial support for 5 attorneys and 1 paralegal in the securities and transactional law practice areas, including but not limited to word processing, answering phones; scanning; duplicating; faxing; distributing mail/documents; preparing overnight delivery packages; opening and maintaining working files; scheduling meetings; arranging travel; paying corporate filing/licensing fees; coordinating and obtaining executive signatures on corporate and licensing documents; creating and managing organizational processes to increase efficiency and productivity of all attorneys. -Provide specialized support for securities legal team, coordinating the review, transmission, version control, and overall document management for securities filings, audits, and other securities-related deals. -Provide specialized support for transaction legal team, preparing contract and licensing documents, updating contract management database, assisting on corporate governance work, maintaining Minute Books, maintaining files and tickler systems, and coordinating and tracking business client requests. -Participate in department administrative staff support meetings and represent securities and transactional groups on approved departmental projects; provide administrative and secretarial backup for other department secretaries as needed. Qualifications TFS is looking for individuals with strong business sense and practical expertise. Successful candidates must have: -Minimum 5+ years legal secretarial experience required. -Corporate transactions experience in corporate law department or law firm required. -Notary commission highly desired. -Specific experience supporting Securities legal practice helpful. -AA degree or equivalent experience required. - Strong computer skills required, specifically in word processing (MS Word, WordPerfect), document comparison (DeltaView, Workshare, Adobe Acrobat Pro). - Experience in advanced features of Word, such as template creation/document assembly techniques, highly desirable. - Lotus Notes experience desired. - Procuri (Contract Management System) experience and/or database data entry experience helpful.
