Payroll Specialist
Position has the ability to be located in either Olney, MD or Columbia, MD. GENERAL SUMMARY
Processes bi-weekly payroll for company with accuracy and attention to detail. Compiles all necessary data and documents to complete processing. Maintains payroll files and reports. Assists in the reconcilement of accounts to general ledger. Updates HR database with daily changes. Coordinates and maintains all HR Sarbanes Oxley materials. Prepares monthly HR reports. Initiates accounts for new hires, and assures that all paperwork is returned and processed in a timely manner. Maintains the payroll vendor relationship.
MAJOR JOB ACCOUNTABILITIES
1. Bi-Weekly Payroll Processing
Utilizing the ADP PCPW system and following established procedures, prepares and processes the bi-weekly payroll. Reviews and imports hours from on-line time and attendance system, reviews reports of incentive commissions, and calculates compensation amounts where necessary. Inputs data accurately and verifies changes. Reviews payroll information for accuracy prior to accepting final transmission. Transmits data to ADP by due date. Verifies processed data when completed by ADP. Corrects any errors, reprocesses as necessary. Transfers 401(k) and match data to record-keeper. Answers questions regarding payroll and payroll related systems. Responsible for the verification of subsidiary payrolls. Processes Skills & Wellness reimbursement requests.
2. Payroll Records and Reports
Generates management reports, as well as payroll related reports including deferred compensation totals, monthly ESPP file, and annual census report. Prepares cashier's checks and court attachments, as needed. Processes requests for automatic payroll deductions. Prepares checks for manual pays when necessary. Files appropriate tax forms and information with ADP/Government agencies. Works with ADP to ensure all year?end tax information is accurate and delivered to the appropriate people and agencies in a timely manner. Manages the ADP vendor relationship for PCPW, ETime and IPay. Maintains familiarity with applicable laws.
3. Leave Tracking
Answers questions, provides necessary paperwork, submits claims and maintains records for Workers Compensation, Short Term Disability and Family Medical Leave (FMLA). Provides information to employees regarding paid time off (PTO), and extended illness bank (EIB), which may require some research. Responds promptly to requests for all information, and maintains familiarity with applicable laws including updates and changes. Maintains detailed records on yearly leave accruals and balances. Tracks use of purchased leave benefit. Adjusts leave for short term absences and corrects other balances as necessary.
4. Updates Systems
Receives and processes all federal and state withholding exemptions. Maintains database of all payroll related systems information and maintains detailed payroll files. Coordinates payroll and HR data by entering and verifying all changes into the systems.
5. Benefit Processes and Administrative Support
Opens employee checking accounts for new hires and coordinates paperwork with the Client Service Center. Provides assistance with year-end duties and assists benefits area as needed. Acts as the department’s SOX liaison.
KNOWLEDGE, SKILLS, AND ABILITIES
1. Two years of payroll processing experience with advanced knowledge in ADP’s PC Payroll for Windows and HR Perspective required. Must be knowledgeable in payroll processing principles and related laws as they apply to overtime, taxes, etc.
2. Strong organizational skills needed with the ability to handle multiple tasks and meet scheduled deadlines. Attention to detail and strong aptitude for business math required. Knowledge of Microsoft Office with intermediate Excel experience.
3. Experience using standard office equipment such as typewriter (30?40 wpm), calculator, etc. is required.
4. Advanced problem solving skills are needed to find solutions to problems that are technically complex and require collection, interpretation, and analysis of data from diverse sources is required at this level.
5. Work requires internal and external contacts to resolve more sensitive problems, clarify company policies/procedures, etc. which requires the use of sensible judgment, tact, and persuasion to obtain desired results.
6. Work is under minimal supervision where work requires independent judgment in the interpretation of existing policies and procedures and the selection of alternative procedures and work routines. Alternatives may be limited or not well defined. Plans and arranges own work, referring only very unusual matters to supervisor.
7. Position includes exposure to internal information of highly confidential nature requiring tact and discretion.
SPECIFIC PHYSICAL REQUIREMENTS:
Work requires reasonable mobility in and around the work area. Ability to use standard computer and phone systems is required.
WORKING CONDITIONS:
