Region Assistant

Responsibilities:

The main categories of responsibility fall into the following:

·  Staff communications

·  Reporting and documentation coordination

·  Event planning and travel arrangements

·  Internal customer service

·  Administrative duties

 

More specifically, responsibilities include-

● Providing administrative support to the East region as a whole and to the VP of Field Operations.

● Managing schedules, meetings and conference calls.

● Processing time and expense reports.

● Processing documents and maintaining records.

● Making travel arrangements.

● Creating excel spreadsheets and PowerPoint presentations.

● Proactively keeping field management informed of policies, due dates, deadlines, etc.

● Assisting with recruitment efforts and organizing interviews.

● Assisting in real estate duties including, but not limited to, expediting leases for signature, sorting and distributing weekly real estate tracker, and maintaining electronic real estate filing system for the region.

● Managing special projects as needed.

● Coordinating and distributing regional reports including Amex bills and Rent Audit.

● Coordinating, compiling, and reviewing for accuracy bills and payments related to Regional expenses including but not limited to conference calling phone bill, rent, cleaning and storage, graphics and other Regional expenses.

● Assist with communications to the DMs, NAMs, TMs, CAMs, DAs, PR, TRMs and others. Notify when there are system-wide email outages. Distribute newsletters.

● Maintain phone and contact list.

● 10-20% travel

Qualifications:

● High School diploma required; a degree from an accredited college/university and experience as an executive assistant preferred.

● Must be a resourceful, articulate, multi-tasker with a “can do” attitude

● Must be an expert in the art of prioritizing and capable of handling requests from various managers.

● Excellent interpersonal and organizational skills are required.

● Proficiency in Word, Excel, Outlook and PowerPoint is required.

● Able to work overtime when required.
