Sr. Executive Assistant
Essential Functions
Under supervision of a senior officer, performs complex and confidential secretarial and administrative duties. Prepares correspondence, documents and reports. Maintains files, schedules meetings and appointments, makes travel arrangements and performs other related administrative functions.
Requirements
1. Using a personal computer and appropriate office software, produces correspondence, reports and other documents, spreadsheets and presentations, some of which are confidential or sensitive in nature. Composes and edits correspondence and other documents. Edits and proofreads routine to complex and sensitive material for accuracy and completeness. May take and transcribe dictation or shorthand. Conducts research on the Internet as needed.
2. Provides administrative support for a senior bank officer such as screening calls and visitors, resolving routine inquiries, taking messages, making appointments and managing an appointment calendar, opening and managing mail distribution, arranging conference calls, photocopying, facsimile transmissions, ordering supplies and preparing documentation for bill payments and tracking expenditures for budgeting purposes, making travel arrangements, preparing and submitting expense statements using TravelNet and maintaining files. May greet and escort VIP guests; coordinate meetings, travel or other routine arrangements.
3. Also provides similar senior administrative support for the HR department; including a wide range of responsibilities (i.e., word processing/typing, supplies, mail distribution, invoice/bill payment, inventory and equipment maintenance, phone coverage etc.).
4. Using Peoplesoft, performs timekeeper duties, prepares attendance reports and accesses employee profiles. Prepares and submits bi-weekly ProCard expense reports using PaymentNet.
5. Works independently on special assignments such as developing, administering and analyzing annual budget, preparing documentation for the annual performance review process, compiling and organizing complex reports and documents, coordinating with other departments or units on behalf of the senior officer, acting as liaison with outside contacts on behalf of the senior officer, maintaining sensitive personnel information, updating personnel profiles, monitoring information and providing regular status reports, arranging routine or special meetings and functions and preparing presentation materials.
6. Serves as backup to the Senior Executive Assistant to the HR Senior Officer.
7. Serves as Secretary to the Innovation Award Program; responsible for maintaining bank birthday/anniversary listings; coordinates annual Employee Handbook process; serves as fitness center back-up personnel; maintains and updates HR Sixbits webpage.
SKILLS REQUIRED:
Excellent (oral & written) communication skills; (Writing assessment may be required)
Strong organizational skills and ability to multi-task in a fast-paced, dynamic work environment;
Strong MS Word, Excel, PowerPoint skills; and
Must be able to type at least 50 wpm
