The Remote Site Administrative Assistant performs day-to-day office activities including scheduling meetings, maintaining calendars, coordinating travel plans, processes expenses, generates correspondence, and manages all third party contracts.Preparing presentations, under general direction, for internal and external audiences without facilitatingManaging confidential matters (e.g., communications within/outside the function, information request, etc.)Organizing and maintaining necessary files and recordsProcessing payroll for hourly employees on a bi-weekly basisUsing facility time collection system to gather data and submit to payroll department for processingOperating multi-line phones for incoming callsCollecting, compiling, and auditing data to produce reports and documentsMaintains records for the annual safety training for the entire teamOrdering supplies, materials, publications, services, etc., and manages invoicingMonitoring front desk securityAssisting with special projects as needed to meet the needs of the departmentHigh school diploma or equivalent; accredited Business College or degree highly desirable.3+ years administrative experience and 1+ year experience with accounts payable and payroll duties.Familiarity with ADI Payroll System a plusPrevious experience with multi-line phones is strongly preferredSkill in using Microsoft Word, Excel, PowerPointSkill to effectively communicate and to successfully manage projectsSkill to prioritize and organize tasks and dutiesMust possess teamwork skills, interpersonal skills, and effective listening skillsAbility to handle sensitive, confidential mattersAbility  to work independently, to self-motivate, to pay attention to detail, and to learn new programsAbility to processes calls in a timely and efficient mannerAbility to screening calls and responds to routine and moderately complex inquiresAbility to occasionally lift 20 lbs.
