The Company's strategy is to commercialize its products both independently and in collaboration with major pharmaceutical companies. Vertex's product pipeline is focused on viral diseases, inflammation, autoimmune diseases, cancer, pain and bacterial infection. Position Overview: This position will have primary responsibility for all conference management activities associated with the Cambridge site. This position will also assist with all meeting and event activities as needed. In addition, this position will interact with external meeting suppliers and internal customers throughout the company, following established protocols and procedures. Key Responsibilities: Process all conference registration requests for Cambridge employees; maintain the internal database of all conference-related information including date and location of conference, all registered attendees, and total cost; obtain and track appropriate travel reservations and approvals for conference attendance; process all travel arrangements, hotel accommodations and ground transportation for conference attendees, frequently working with and within housing bureau guidelines; generate quarterly and/or ad hoc reports detailing conference attendance by cost center to assist managers with budgeting; liaise with Strategic Communications regarding Vertex attendance and presentations at specific conferences; negotiate refunds or credits with various conference bureaus due to cancellations; process and track all scientific memberships; reconcile the Meeting Card statement each month and facilitate charge-backs to department budgets; monitor and resolve any billing discrepancies; perform other duties as assigned; provide meeting support for all activities as needed within the department. Minimal Requirements: Bachelor's Degree Exceptional attention to detail and organizational skills; ability to seek out resources to complete job duties; effectively manage multiple tasks; adapt to changing priorities and needs quickly and effectively.
