Documentation Project Specialist I

Work order administrator & Training Coordinator for the Engineering and Facility Operations department. Assembly bid packages for long lead project equipment. Tracking of fabrication schedules with vendors and Engineering Turnover Packages for all capital projects performed by on-site Engineering. Coordination and tracking of documentation with Engineers and subcontractors.As Training Coordinator for the Facilities Operations / Engineering Department: Works closely with assigned clients to understand and assess specific training needs and to communicate organizational training requirements to local management Facilitates the assignment and un-assignment of related training for staff members using the site/department training tracking system, and tracks compliance to training requirements, reporting successes to area management. Works with designated training professionals and clients to implement established training plans. Facilitates the scheduling, delivery, and documentation of training solutions to meet training needs. Minimum requirements: (includes formal education/degrees, specific training, certification or licensing and years of experience required) BA/BS/AA degree (science-related degree preferred), with 1 year of editing or writing experience. 2 years experience in Biotech/pharmaceutical industry. Must have an understanding of documentation systems in manufacturing, maintenance, QA, pharmaceutical, diagnostic or device, biotechnology, or related field. Must have a basic understanding of production methods or scientific basis of biotechnology. Must possess solid computer skills in Microsoft Word and Excel, and must be Internet savvy; experience with SAP and computer maintenance systems (such as Maximo), a plus. Must be detail orientated, self- motivated, and able to communicate with various groups at Novartis. Must possess strong interpersonal, team building skills, and a strong customer service focus. Department specific requirements: (includes reporting relationship, specialized experience & skills, work hours, work location, core competencies) Deliver quality products and services on time to all customers, internal and external. Provide employees with training and resources to meet or exceed customer requirements. Monitor processes and products to identify opportunities for continuous improvement.This is a full time position within the Facility Operations and Engineering department in Vacaville, CA. Documentation Project Specialist I will report to the Supervisor of Facility Services.The specific duties/responsibilities are as follows: Maintain complex filing systems, specifically, opening, closing and filing work orders, Preventive Maintenance items (PMs) and Calibrations Input and maintain existing databases including Access databases for purchase orders and Excel databases for Engineering Change Orders (ECOs), Software Modification Logs & Engineering Turnover Packages (ETOPs) Track validation protocols Assembly of equipment bid packages for capital projects Track updates to master site drawing & P&ID changes Record minutes for project team meetings for Miscellaneous Capital projects & assist project management on larger capital projects, as neededNovartis Vaccines & Diagnotics is a new division of Novartis consisting of two businesses focusing on the development of preventive treatments and tools.
