Intellectual Property Administrative Assistant
Purpose
This position directly supports the Senior Intellectual Property Manager, Senior IP Counsel, and Chief Intellectual Property Counsel. This position requires interaction with outside law firms (patent and trademark), business representatives, and employees throughout the Research and Development organization. This role requires organizational and time management skills, with the ability to handle detail-oriented tasks.
In addition, the position will require some knowledge of general patent administration, accessing and inputting data into an intellectual property database, creating intellectual property reports from the database, and assisting the intellectual property team in meeting patent and trademark deadlines.
Responsibilities
1. Become proficient in the Computer Packages, Inc. (“CPi”) Intellectual Property database to ensure timely updating of the database and accurate report (e.g., docket) generation.
2. Assist with the internal processing of intellectual property invoices to ensure timely payment to vendors. Allow PerkinElmer to track intellectual property expenses by entering billing information into CPi. Provide at least quarterly reports on intellectual property expenses based on different query options.
3. Use CPi to generate annuity reports and associated information packages for PerkinElmer’s respective businesses. Take lead role in generating and maintaining an electronic data room that includes information to allow businesses to make informed decisions regarding upcoming foreign filing and annuity payments.
4. Coordinate the receipt, execution, tracking, and return of formal intellectual property documents to law firms and other vendors.
5. Assist with the acquisition and renewal of trademarks by identifying the appropriate business entity, obtaining applicable samples, and transmitting the same to legal vendors within specified deadlines.Work with other legal and IP department team members to ensure proper coverage of daily responsibilities.
Requirements
College degree required. Knowledge of the patent process and/or intellectual property terminology desired.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:Self-starter; strong sense of initiative. Can work from a docket and be counted on to follow up with deadlines. Reliably completes tasks on time.Organized and able to manage own time to accomplish goals despite distractions and shifting priorities. Exercises good judgment in prioritization and seeks guidance when priorities conflict.Able to communicate clearly, both orally and in writing. Able to handle internal and external communications with poise and courtesy.Comfortable working independently; self-reliant; demonstrates ownership and accountability for project management and achievement of results.
· Able to manage multiple, complex, time-critical tasks with little supervision.Very strong attention to detail and high degree of accuracy in all work.High level of proficiency in Microsoft Word, Excel, Powerpoint, Outlook, and preferably, CPi or some other intellectual property database.Strong team orientation.Excellent organizational and coordinating abilities.Ability to gather data, compile information, and prepare spreadsheets and reports.
