Vertex's product pipeline is focused on viral diseases, inflammation, autoimmune diseases, cancer, pain and bacterial infection. Position Overview: The Meeting & Event Planner is responsible for the planning, coordinating and management of all aspects of assigned Vertex-related off-site meetings. The Planner position will report to a Sr. Planner in the Corporate Services Department. The Meetings & Events Planner partners with individuals and groups within Vertex to execute successful events and also assists with the planning and execution of all major corporate events. In addition, the Meeting & Event Planner contributes to the overall goals of the Corporate Services Department by achieving financial savings through skillful contracting and cost avoidance practices,and through ensuring compliance with the Travel Policy. Key Responsibilities: Consults with internal clients to gain an understanding of the meeting objective; conducts venue search and selection based upon the needs and objectives of the meeting organizer; responsible for all aspects of site selection including site inspection, contract negotiation, vendor interaction and management, price negotiation, proposal reviews, billing and vendor follow-up; plans off-site dinners, tours and activities, entertainment for off-site meeting attendees; coordinates with ground transportation vendors as necessary; acts as a liaison between meeting site staff and Vertex personnel; provides on-site logistical support for off-site meetings; creates all meeting collateral including invitations, name badges, agendas and tent cards; coordinates travel of meeting attendees with on-site American Express travel agents; prepares (and works within) meeting budgets based on provided spend amount and performs reconciliation of after-meeting invoices and expenses; regularly interacts with and manages meeting suppliers, hotel staff, ground transportation staff, entertainment staff, etc.; assists with the coordination and execution of large-scale site and corporate wide events; frequently and effectively communicates pertinent information to both small and large groups of internal customers; performs other duties as assigned. Proven ability to successfully handle multiple projects; strong negotiation skills; proven competence using computer systems required to perform job duties; ability to independently interpret policies and procedures and solve routine problems; ability to clearly present status and outline status updates in both oral and written format.
