Summary: The Meetings & Events Coordinator will be a junior member of a busy sales and marketing team. The chosen individual will participate in the planning and implementation of all customer-focused meetings, trade shows, conferences, and events and other marketing projects. Responsibilities include pre-event preparations & promotion, delivery of all equipment & materials, on-site support of larger meetings, remote support of smaller meetings, and all post-event follow-up. Also included is making sure that all elements of the events combine to accurately, clearly, effectively, and consistently communicate the company's overall mission, corporate objectives and key messages. The Meetings and Events Coordinator will also take responsibility for the implementation of periodic special marketing and marketing communications projects.
Responsibilities:
Coordinates the implementation of all customer-focused meetings, trade shows, and events. Coordination of implementation includes, but is not limited to:
oShow planning, site/booth selection, exhibit & attendee logistics, planning & implementation of any pre-conference promotion, special ancillary events and/or speakers, and post-conference follow-up, on-site or remote support as required by show size, equipment & materials selection, shipping, logistics, and event follow-up.
oCoordination of contracts for exhibits, trade shows (after event is approved by Director of Marketing) and meeting all contractual deadlines and payment arrangements for booth space, registrations, furnishings, electrical, A/V equipment, catering, labor, etc.
oCoordination of local and regional events and activities based on criteria from Director of Marketing.
Participation in the planning & leadership of the implementation of new forms of events, such as webinars or other electronic communication events.
Assist with the design, construction, repair, storage and shipping of all booths and exhibit materials (including signage, product, and lighting) by selecting, directing, and evaluating vendors and service providers; translating confirmed show strategies into clear direction for service providers; setting timelines for meeting design, production and shipping schedules. Arranging booth delivery, including packing and shipping booth and related supplies and equipment, and managing third-party deliveries.
Coordination and maintenance of existing relationships and development of new ones as needed, with outside vendors to optimize the success of implementation of customer-focused meetings/events/shows.
Execution of periodically assigned special marketing projects, which may include, but not limited to, customer contacts for collection of feedback & input, support of marketing research projects, occasional logistical support for key marketing initiatives.

Requirements:
B.S./B.A. or equivalent. Up to 3 years experience in a role demonstrating skills in organization, attention to detail, initiative, project management, and excellent phone skills.
Excellent interpersonal and influence management skills; demonstrated ability to accomplish goals by working positively with others in a non-reporting relationship.
Ability to travel (10 15 %), primarily in support of major trade shows/conferences.
Excellent computer and Microsoft Office skills, Word, Excel and PowerPoint.
