Office Manager/Executive Assistant
This position will coordinate all activities of the executive team and manage office needs for the company and scientific staff. This position is frequently the face of the company, interacting directly with senior executives, investors, and corporate partners.
Duties include:
Executive/Administrative SupportProviding wide-ranging executive and administrative support for VP Business Development and CTO in Lexington, MA office and CEO in San Diego, CA Managing executive calendars and coordinating all on/off site meetings and conference calls Scheduling and setting up Board of Directors meetings, scientific advisory board meetings, and medical advisory board meetings Making travel arrangements for senior executives and employees Coordinating speaking engagements and conference registrations Managing and coordinating interviews for recruiting new employees and executives
Front-Office Operations Managing and serving as point-person for all office-related vendors (including landlords, suppliers, facilities, transportation, IT) Managing daily office operations, including front-desk activities such as answering phone calls and greeting visitors; ordering / purchasing office and kitchen supplies; and managing Security System – 24 hour emergency contact for any security issues. Coordinating all office activities, procedures, systems, and operations. Developing and recommend office procedures/systems, as appropriate Working with Web Design Firm to update and edit the website Managing IT back up media and reviewing back up reports Planning and coordinating all company events and functions (team-building, happy hours, holiday parties, etc)
Back-Office Operations/Finance Overseeing office build-out and ongoing maintenance Supporting Finance Team, including maintaining PO database, receiving, entering invoices into Quickbooks and resolving invoicing issues with vendors Preparing and submitting expense reports; managing and track vacation requests Maintaining sensitive vendor, patent and contract files Reviewing and summarizing reports, documents, meeting notes
Background:
The ideal candidate should have a Bachelor’s degree, 5 plus years in Office Management/Administrative support. The candidate should enjoy and be willing to support multiple executives split between 2 locations, with a high degree of professionalism in a small office/startup background.
Experience should include:Managing vendors and supporting the accounting function Have attention to detail, keen initiative, strong organizational skills, multi-tasking, and a proven ability to work independently as well as part of a team Excellent communications skills are a must as this position will be dealing directly with high level corporate partners, investors, clinicians, prospects, and executivesExcellent skills in web-based applications, MS Office Suite, and a working knowledge of QuickBooks accounting software would be a plus.Experience in venture-funded startups/biotech/pharmaceuticals/venture capital/private equity a plus.
